How to Create a Custom Pricebook (& When)

Custom pricebooks are used for funding models outside of NDIS, such as Home Care Packages (HCP), brokered services, or private fee-for-service arrangements. These pricebooks allow you to define your own products and pricing based on the structure of your service offering.

Before creating a custom pricebook, you’ll need to create product families and define the products you plan to include.

Step 1: Create a Product Family

Product families group similar items together to make them easier to manage and filter.

  • Go to Customisation > Products & Prices > Product Families.

  • Click Create Product Family.

  • Enter a name (e.g. Brokered Supports, Aged Care Services, or Private Services).

  • Click Save.

Step 2: Create Custom Products

Each item or service you wish to include in your pricebook must first be created as a product.

  • Go to Customisation > Products & Prices > Products.

  • Click Create Product.

  • Enter the following details:

    • Name

      • Product Family

      • Product Code

      • General Ledger Code

      • GST Option

      • Xero Item Code (optional)

  • Click Save.

Important Notes:

Note: The NDIS price list is preloaded and managed by MYP. Any custom product required for your organisation must be created manually as described above.

Step 3: Create a Custom Price Book

  • Go to Customisation > Products & Prices > Price Books.

  • Click Create Price Book.

  • Enter a name for your pricebook (e.g. CHSP Price Book, Brokered Services FY24, Private Client Rates).

  • Click Save.

Step 4: Add Products to the Pricebook

  • Go to Products & Prices > Products.

  • Open the relevant product.

  • Click Create Price Book Entry.

  • Choose the Price Book, enter the Price, and click Save.

  • Repeat this for each product you want to include.

Step 5: Validate the Custom Pricebook

  • Review the products and prices to ensure they match the requirements of your funding model.

  • Test the setup by generating a draft invoice or service schedule using the new pricebook.
