    For a service to be delivered at par with expectations, all the internal departments need to be on the same page. This Scribe page outlines a brief OLA that sets the necessary expectations and responsibilities.

    General Overview

    This Operational Level Agreement (“OLA”) outlines the responsibilities and working relationships of the nursing staff, laboratory and radiology department in providing timely and accurate patient care. This OLA shall remain valid until revised or terminated.

    The purpose of this OLA is to establish clear expectations and service level targets for patient care activities that involve these departments.

    The scope of this OLA applies to all patient care activities within the hospital.

    The objectives of this OLA are:

    • Establish clear expectations and service level targets.

    • Ensure timely and accurate assessments and results.

    • Ensure adherence to safety protocols and policies.

    • Improve communication and collaboration between departments.

    • Establish a framework for reviewing and revising the OLA.

    Nursing Staff

    Scope of Work

    • Critical changes are to be reviewed and approved by the patient or their representative.

    Roles and Responsibilities

    Nursing Staff

    1. Provide timely and accurate patient assessments, including vital signs, medication administration, and other clinical interventions as required.

    2. Communicate patient status updates, care plans, and treatment options to the laboratory and radiology department in a timely manner.

    3. Ensure patient safety at all times by adhering to infection control protocols, following medication administration policies, and maintaining a safe and clean patient environment.

    Laboratory

    1. Process laboratory samples in a timely and accurate manner, following established protocols and procedures.

    2. Communicate laboratory test results to the nursing staff in a timely manner.

    3. Notify the nursing staff immediately of any abnormal or critical test results.

    Radiology Department

    • Perform radiologic exams as ordered by physicians, following established protocols and procedures.

    • Communicate radiology exam results to the nursing staff in a timely manner.

    • Notify the nursing staff immediately of any abnormal or critical exam results.

    Working Hours

    • The nursing staff, laboratory and radiology department will operate 24 hours a day, seven days a week to provide patient care.

    • Departments will establish a schedule for rotating working staff and working shifts as needed to ensure continuity of care and adequate staffing levels.

    • Any changes to operating hours must be communicated in advance to all parties involved, and a plan for service continuity must be established.

    Response Times

    Nursing Staff

    1. Respond to patient calls within 5 minutes.

    2. Administer medications within 30 minutes of the scheduled time.

    3. Update patient care plans every 8 hours.

    Laboratory

    1. Process routine laboratory samples within 4 hours of collection.

    2. Notify the nursing staff of laboratory test results within 1 hour of completion.

    3. Process urgent laboratory samples within 1 hour of collection.

    Radiology Department

    1. Perform radiologic exams within 2 hours of the physician's order.

    2. Notify the nursing staff of radiology exam results within 2 hours of completion.

    3. Process urgent radiology exams within 30 minutes of the physician's order.

    In Case of Emergency

    In the event of an emergency or disaster, the departments will follow established emergency management protocols to ensure patient safety and continuity of care.

    Review and Revision

    This OLA is valid from the Effective Date outlined herein and is valid until the Date of Termination. It will be reviewed and revised annually or as needed by the nursing staff, laboratory and radiology department.

    KPIs for this service are listed under the Response Times section. Reporting on KPIs will take place monthly, and made accessible to all parties involved.

    The Document Owner is responsible for facilitating regular reviews of this document. Any proposed changes to this OLA must be reviewed and approved by all parties involved before implementation. The Document Owner will incorporate all subsequent revisions and obtain mutual agreements/approvals as required.
