When offboarding staff in MYP, it is essential to follow a structured process to ensure data security, payroll accuracy.
, and smooth role transitions. The best practice is to block the exiting staff member’s access before archiving them in the CRM. This approach restricts access to sensitive information while allowing time to finalize exit-related tasks.
Before proceeding with termination, block the staff member’s MYP login to prevent unauthorized access while ensuring that offboarding processes can still be completed.
Navigate to the Staff Panel in CRM.
Select Edit next to the relevant staff member.
Click Block Login.
Define the Date and Time for access restriction.
Click Save.
As soon as a worker resigns, add ‘Unavailable’ to their Personal Calendar from the resignation date through to their final day. This clearly signals to coordinators that they shouldn’t be allocated shifts.
If the exiting staff member was included in MYP-generated timesheets, ensure all payroll processes are completed before archiving them in MYP.
Ensure all required timesheets have been generated, reviewed, and approved.
Sync timesheets with your accounting package or export the timesheet data for import.
Complete the final pay run for the staff member.
Remove the exiting staff member from all Roster Template shifts.
If applicable, assign an alternate staff member to replace the exiting staff member in Roster shifts.
Archiving a staff member removes them from all reference points in MYP while ensuring proper reassignment of tasks and records.
Navigate to the Staff Panel in CRM.
Select Archive next to the staff member’s profile.
Define the ‘Re-assign’ preferences for:
Opportunities
Project Tasks
Roster Manager assignments (not individual shifts)
Document Storage
Select the relevant Termination Status.
Click Save.
