Restrict System Access (CRM)

Before proceeding with termination, block the staff member’s MYP login to prevent unauthorized access while ensuring that offboarding processes can still be completed.

How to Block a Staff Member’s Login

  1. Navigate to the Staff Panel in CRM.

  2. Select Edit next to the relevant staff member.

  3. Click Block Login.

  4. Define the Date and Time for access restriction.

  5. Click Save.

Finalise Payroll & Timesheets (Time & Attendance)

As soon as a worker resigns, add ‘Unavailable’ to their Personal Calendar from the resignation date through to their final day. This clearly signals to coordinators that they shouldn’t be allocated shifts.

If the exiting staff member was included in MYP-generated timesheets, ensure all payroll processes are completed before archiving them in MYP.

Payroll and Timesheet Offboarding Checklist

  • Ensure all required timesheets have been generated, reviewed, and approved.

  • Sync timesheets with your accounting package or export the timesheet data for import.

  • Complete the final pay run for the staff member.

  • Remove the exiting staff member from all Roster Template shifts.

  • If applicable, assign an alternate staff member to replace the exiting staff member in Roster shifts.

Archive Staff Member in CRM

Archiving a staff member removes them from all reference points in MYP while ensuring proper reassignment of tasks and records.

How to Archive a Staff Member

  1. Navigate to the Staff Panel in CRM.

  2. Select Archive next to the staff member’s profile.

  3. Define the ‘Re-assign’ preferences for:

    • Opportunities

    • Project Tasks

    • Roster Manager assignments (not individual shifts)

    • Document Storage

  4. Select the relevant Termination Status.

  5. Click Save.

Final Checks & Best Practices

Ensure the staff member no longer has access to MYP before completing offboarding.Communicate with relevant team members about task reassignment to avoid disruptions.Maintain accurate records of the offboarding process for compliance and auditing.
