Data Migration Process from PowerScheduler to PowerSchool Live
1. Overview: This process facilitates the transfer of scheduling data from PowerScheduler to the Live environment of PowerSchool. While not recommended, it allows for multiple commits and will overwrite existing data on the Live side.
2. Data Categories: - Periods: Defines the schedule periods for classes. - Days: Specifies the school days in the academic calendar. - Year Term: Outlines the academic year and term structure. 3. Process Steps: - Initiate the data migration from PowerScheduler. - Choose the specific data categories to be exported (Periods, Days, Year Term). - Confirm the overwrite action for existing data on the Live side. - Execute the migration process. - Verify the successful transfer of data. 4. Considerations: - Ensure all necessary data is accurately defined in PowerScheduler before migration. - Be aware that committing multiple times will replace existing records in PowerSchool Live. - Perform a backup of Live data if necessary before proceeding with the migration. 5. Post-Migration: - Review the transferred data in PowerSchool Live for accuracy and completeness. - Address any discrepancies or issues that arise post-migration. By following these guidelines, the migration process from PowerScheduler to PowerSchool Live can be conducted smoothly and effectively.
1. Verify Teacher Schedules: - Ensure all teacher schedules are updated and reflect current enrollments. 2. Check Calendar Setup: - Navigate to Schools > Calendar Setup. - Confirm that the calendar is correctly configured for the Next School Year. 3. Reset Class Counts: - Access System > Special Operations. - Perform the action to Reset Class Counts to refresh enrollment data.
4. Review Enrollment Visibility: - After resetting, check if the enrollments on teacher schedules are now visible. 5. Document Any Issues: - If issues persist, document the steps taken and any error messages encountered for further troubleshooting.
Run the Resolve Invalid Requests Function
When students change schools during scheduling season, their requests may become invalid because the requests are associated to the wrong School. Requests may also become associated to an invalid Course due to a Course being removed from Scheduling or another change in the system.
Use the Resolve Invalid Requests function to update/remove these requests and avoid validation errors.
Navigate to: Start Page then PowerScheduler then Scheduling Functions and Resolve Invalid Requests
A listing will be displayed if any invalid records are found.
You will have the option to Filter to a particular record at the top of the page.
This page will also give you the ability to mass change or mass delete records.
For more information, see our online help.
In your PowerSchool SIS navigate to Help then System Help menu and search for Resolve Invalid Requests.
Warning icons indicate courses that are in the catalog, but not available for live scheduling at this school for the designated scheduling year. These courses must be made available in order to commit them in live schedules, and if not, should be removed from the course catalog after removing any related data in PowerScheduler.
To View Unavailable Courses:
Select the School
Navigate to: Start Page then Setup and Courses
Filter by Unavailable. See the image below for an example
When running a Build or a Load, please ensure that you validate your data first and correct all the errors found in the Results Log before moving forward.
