How to Set Up a PACE Participant

1. Create the Participant Profile

  • If the participant is not already in MYP, Create a client in CRM.

2. Navigate to Funding > Manage NDIS Clients

  • If a participant is on PACE, use the panel to either:

    • For new participants, create a new engagement, or

      • For existing participants, edit their existing engagement and change them to PACE.

3. Enable PACE

  • In the engagement, use the ‘PACE’ toggle to activate PACE for the participant.

  • A pop-up will notify you that service bookings will be removed (not needed under PACE). Confirm to proceed.

4. PACE Features Enabled

  • Enter the participant's funding in the PACE Participant Budget section.

  • Note: The 'Service Bookings' section is replaced with the 'PACE Participant Budget' section.

Explanation of Plan Dates in PACE

Each participant engagement under PACE shows several key plan-related dates:

PACE Engagement Start Date:

  • The date the participant was first onboarded under PACE. This date does not change, even as plans are reviewed.

Current PACE Plan Start Date:

  • The current pace plan start date refers to when the last plan review was done and when their current funding period starts.

Current PACE Plan Review/End Date:

  • The review or expected end date of the current plan. This is updated with each review.

These fields help track ongoing plan changes while keeping the participant’s original PACE onboarding date visible.

How Budgets Work in PACE

Managing Budgets for PACE Participants

Budgets in PACE are tied to specific plan periods and automatically update when a new plan is received through HICAPS.

Key Points:

  • Budgets are created for each plan period with matching start and end dates. In the Participant Plan Budget section, add the participant's budget either as a total for their plan -- or as of 19th of May -- their released plan period funds. HICAPS will automatically sync the total released funds to this section.

  • Previous budgets are assigned an end date before the new plan’s start.

  • New budgets appear in the ‘PACE Participant Budget’ section and are visible in Funding.

  • myNotification alerts will advise when a new plan or budget is available (may take up to 48 hours).

Manually Importing or Updating PACE Plan Details

How to Import or Update a Participant’s PACE Plan

For participants onboarded via HICAPS, updates usually occur automatically. However, you can manually import plan details when needed.

To Import or Update Plan Details:

1. Open the Engagement

  • In Funding, locate the participant’s engagement and click Edit.

2. Go to NDIA Options

Select either:

  • Import Plan Details, or

  • Onboard Participant (if they are new to PACE).

3. Refresh and Verify

  • After selecting the option, refresh the page after a few minutes. The updated details may take a short time to appear.

  • A notification will appear in myNotification once the import is complete.

4. Verify the Following Fields:

  • PACE Engagement Start Date

  • Current PACE Plan Start Date

  • Current PACE Plan Review/End Date

  • Budget start/end dates, management type, category, and amounts

If plan details are still missing, confirm the participant has been onboarded with PACE via the NDIA and endorsed them as their provider.

Viewing a Participant’s PACE Plan in the Dashboard

How PACE Plans Appear in the Dashboard

Participants onboarded with HICAPS will see changes in their myDashboard to reflect their current PACE plan and budget.

Key Features on the Dashboard:

Current PACE Plan Dates

  • Displays the current plan’s start and review/end date at the top of the dashboard.

Plan Budgets

  • Shows budgets aligned to the current PACE plan. Claims made within this timeframe will count against the corresponding budget.

Expired Plans

  • A new panel titled “Expired Client Engagement/Plans” lists previous plan periods. If the plan was under PACE, it opens the current engagement; if not, it links to a legacy engagement.
