Issues with Payroll Generation in Sharpay

    1. [Errno 13] Permission denied: 'Data/Tips.pdf'

    • Once you click "Generate" and your Sharpay tips PDF pops open, you must close it to continue with submitting payroll.

    1. Float division by zero

    • Sharpay cannot generate payroll if there is a team member with 0 hours in Toast. If you see this message, go back into Toast and remove the team member with 0 hours. Then, go back into TipHaus and sync with Toast - remember to do this before pulling reports again.

    1. Record 0 is not in list

    • If you added a new job code that is out-of-the norm (example: Maitre d' for Commission Row), Sharpay will not be able to generate payroll as this job code isn't in the validation table. Please let your Payroll Manager know so this can be adjusted.

    1. Sharpay presenting as $1,000 after files have been uploaded

    • In this situation, you have uploaded your Toast and/or TipHaus files, but you didn't click "Generate" first - you clicked "Next." You must generate first in order for Sharpay to appropriately reflect in the next steps. If this occurs, exit out and start again from the beginning.

    Payroll isn't balancing...HELP!

    I'm out-of-balance...where do I start?

Remember that you'll always be out-of-balance due to the Paytronix 2% (and for some locations, this also includes Tripleseat and room charges as well), unless you've had zero online orders for the pay period. You still have a $5/-$5 threshold in order to submit payroll, too. If you're out-of-balance, check the below three items first.

    1. Is there anything listed under "Take Home" for online orders?

    • If so, that needs to be distributed to the correct team member(s).

    1. Is there anything listed under "Take Home" for salaried managers?

    • If so, that needs to be distributed to the correct team member(s).

    1. Is there anything listed under "Take Home" for a "None" job code?

    • This occurs because a team member had a tip distributed to them in TipHaus on a day they weren't working. Double-check if this is the situation in Toast, and if so, distribute that tip to the correct team member.

    • NOTE: After any and all adjustments, sync in TipHaus (go back to the start date of the current pay period) and wait until "Rules Processing" goes away under the Breakdown section. You can then repull TipHaus and/or Toast.

OK, so I checked all of the above and everything looks great! What else can I look at?

Scenario 1 - TipHaus Report Error

    • Problem - Sharpay Tips Report is whacky and off - it's showing thousands in make-up pay and everything looks weird.

    • Solution - Did you export TipHaus correctly? You must choose the below report (Breakdown --> Employee & Job Code) - if not, it throws everything off. Repull the correct report, completely exit out of Sharpay and start over with the new upload.

Scenario 2 - How to Find Refunds

    • Problem - I know there was a refund I submitted. How can I find this and see if that's the issue? Especially if an online tip?

    • Solution - Check the 2311 report in 365:

      • Log-in to 365 and pull the 2311 report for the pay period.

      • If there's a refund, it will be listed as an entry.

      • Click into the entry and you'll see the refund noted at the bottom (picture below) - you can then see the time and details of the order and refund.

      • Check TipHaus for the specific refund day, and then click into online orders to see if the tip was distributed to a team member. If so, this tip needs to be removed and adjusted in the 2311 Tip Corrections area of Sharpay.

Scenario 3 - Missing Payroll IDs

    • Problem - I see the correct amount in TipHaus under "Take Home" and everything matches, yet, when I generate my tips PDF, my Sharpay number has decreased.

    • Solution - A new hire or a transfer could be missing their employee ID. Look at your TipHaus file that you pulled and see if there are any blank cells in the Payroll ID column (only for hourly team members - salaried should be empty). Reach out to your Payroll Manager for assistance in fixing this.

Scenario 4 - Missing Distribution or Gift Card Tip

    • Problem - I see there is a tip under "Take Home" for online orders, but when I click into total sales to see where it's at, everything is showing as distributed.

    • Solution 1 - You may have missed a gift card tip. This doesn't automatically show in TipHaus - make sure you're expanding by clicking the gray button next to Export. You can distribute appropriately from there.

    • Solution 2 - You may have missed a distribution. If there is anything listed under Take Home, that means something was missed. Go through each online order and verify that each tip was distributed accurately and nothing was missed.
