UCPath Training: Contingent Worker (CWR) Templates

    Welcome to the Contingent Worker (CWR) Smart HR Templates page! This page is dedicated to providing step-by-step guidance for transactors who are looking to learn about and navigate through basic Contingent Worker Templates.

    Whether you are just getting started or need a refresher, this guide will walk you through the process of adding, updating, extending, renewing, and completing Contingent Workers. Let's dive in!

    Step 1: Request Details

    Ensure you have all the information you will need to submit your Contingent Worker template. This may include:

    • Personal data: name, birthdate, address, phone number, email, person/employee ID

    • Job data: job code, position number (only if they will supervise an employee at Berkeley), department, location, supervisor's position number, employee class, expected job end date

    • CWR Record number: if you are extending, updating, renewing, or completing a CWR record, make sure you know the EMPL Record number.

    • Effective Date: refers to the date of the change (ex: start date of the CWR appointment, date of the update, etc.)

    Step 2: Do Your Research

    Person Organizational Summary: allows you to see organizational relationships (Employee, CWR, and POI) across UC locations. Use this research page to learn more about the person you've been asked to submit a CWR template for and their CWR records.

    Search Match: this search page allows you to confirm if a person already exists in UCPath and has a Person ID. Every person should only have 1 person ID, so this step is important if you are asked to add a CWR and create their empl ID.

    Step 3: Select and Submit your CWR Template

    There are various CWR Templates that are used for different scenarios.

    Remember! CWRs who supervise someone at UC Berkeley must be added with a position.

    1. Add Contingent Worker (with or without position): use when you need to create a new CWR appointment. This template can create a person ID if the person doesn't have one already.

    2. Update/Extended Contingent Worker (with or without position): use when you need to update certain job data values for active CWR appointments, including:

      • Extend expected job end date

      • Data update

      • Department change/transfer

      • Job code change

      • Location Code change

      • Reports to change

    3. Renew Contingent Worker (with or without position): use to reactivate a CWR record that is inactive and terminated.

    4. Complete Contingent Worker: use to terminate a CWR record. If the CWR has an expected job end date and the "end job automatically" checkbox has been checked, they will auto terminate on their expected job end date -- you don't need to submit a Complete CWR template in this case.
