QTime provides flexible scheduling with invoicing and timesheet functionality, ideal for support coordinators, allied health professionals, and others. QTime schedules can run alongside standard shifts and are accessible via the Time & Attendance Home Page.
Apply permissions – Navigate to the staff profile & edit permissions.
Under Time & Attendance, select Create QTime, Save & generate invoices and Save & generate timesheets
Navigate to Time & Attendance Home Page.
To create a QTime schedule for the current date, click 'New QTime schedule'.
To create a QTime schedule for a past, current or future date, click the relevant day in the myShifts calendar.

Location
Cost centre
Start & end time
Break time
Add a QTime entry:
Search and select a client.
Choose a line item (appears only if included in an NDIS client’s finalised schedule of support in Funding).
View remaining funds (if enabled in Time and Attendance Settings > QTime).
Track time: Start, pause, resume, or manually enter time.
Select billing option:
Billable
Billable (set fee)
Non-billable
Select activity type
Select claim type:
Cancellation
Direct service
Irregular SIL supports
NDIA-required report
Non face-to-face services
Provider travel
Telehealth
Add notes (up to 7000 characters; appears in CRM History under Time and Attendance filter or in a project task).
Select attendance type:
Attended
Attendance not required
Did not attend (with or without notice) → Select cancellation reason.
Link to project/task (if applicable).
Notes & time recorded will be linked to the project/task.
To restrict notes to a specific team, use a permission-limited project.
Save the schedule.
Select View Allowance > Add Allowance.
Enter:
KM allowance
Distance in KMs
Select Use as timesheet unit (if applicable).
Important Notes:
When ticked, 'Use as timesheet unit' will replace the unit in the minutes field with the unit in the 'KM' field, for both invoices and timesheets. This option should only be used in conjunction with a relevant km-based travel/transport line item.
NDIA → Auto-creates in Invoice to NDIA (Funding).
Client/Plan Manager → Auto-creates in Invoice to Client/Plan Manager (Funding).
CRM → Auto-creates in Client Invoice Panel (CRM).
Save the invoice.
Generate Invoice: Select Save + generate invoice/s (schedule locks upon generation).
Generate Timesheet: Select Save + generate timesheet (schedule locks upon generation).
Approval Process:
Managers can approve timesheets if they have Create & Edit Timesheets (Direct Reports) permission.
Once approved, the schedule is locked.
If awaiting approval, users with Edit QTime Schedule permission can modify timesheets.
QTime timesheets & allowances appear in the Timesheet Report.
Important Notes:
Invoices will only generate on QTime entries for Contacts with an NDIS Client Engagement.
