Withdrawals & No-Show Process

    🔄 PowerSchool Tutorial: Student Withdrawals

    R43-273. Transfers and Withdrawals: Each student transferring or withdrawing shall be given a form showing name, date of birth, grade placement, and attendance record to present to the appropriate school official where he or she is enrolling. Appropriate additional data shall be furnished by the sending school when requested in writing by the receiving school, as soon as possible, but no later than ten business days upon receiving the written request, excluding weekends and recognized state holidays. Disclaimer: Be professional and courtesy to all schools requesting student records and the time it takes for you to send the student records to the receiving school.

    Kindergarten; Grades 1–6; 7–8: A school must transfer a student’s disciplinary record of suspensions and expulsions to the public or private school to which the student is transferring when requested in writing by the receiving school, as soon as possible, but no later than ten business days upon receiving the written request, excluding weekends and recognized state holidays. Schools may not withhold the transfer of records to a public or private school for fees owed by the student

    📜 Regulation Background (SCDE R43-273)

    • Schools must transfer requested records (including attendance and disciplinary data) within 10 business days.

    • No withholding records due to fees owed.

    • Keep a permanent record at the school of origin.


    📝 Steps to Properly Withdraw a Student

    1. 📄 Collect Withdrawal Information

    • Have parent/guardian complete a Withdrawal Form.

    • Print current transcript, progress report/report card, and attendance data.

    2. 👨‍🎓 Drop Student from Classes

    • Go to:
      Student Profile > Courses & Programs > Modify Schedule > Drop All

    • Drop student from all current course enrollments.

    3. 🗓️ Set the Exit Date

    • Go to: Student Profile > School Enrollment > Enrollment History

      • Select Current Entry Date, or Entry Code.

    • Edit the Exit Date = Day after student’s last day in class.

      • Example: Last day in class is 5/22 → Exit date = 5/23

    • Click Drop Classes after confirming.

    4. 💻 Update EFA/EIA History

    • Go to:
      Student Profile > Compliance > EFA/EIA Classification Info > EFA or EIA History > Edit

    • Enter the Stop Date (same as Exit Date).

    • Click Submit.

    5. 🧾 Clear Attendance

    • Make sure no future attendance is scheduled.

    6. 🚪 Transfer Out of School

    • Navigate to:
      School Enrollment > (Under the 'Transfers' Heading) Transfer Out Of School

    • Fill in:

      • Transfer Comment

      • Date of Transfer = same as Exit Date

      • Exit Code (based on reason for withdrawal)

    7. 🏫 District Transfer (if applicable)

    • For in-district transfers:
      After going to "Transfers," Select:
      School Enrollment > "Transfer To Another School" > [Receiving In- District School Name]


    🔁 Tips & Reminders

    • Always close out EFA records before transferring.

    • Do not edit another school’s previous enrollment or EFA info.

    • Keep documentation for records requests or withdrawal forms.

    • If the student is transferring out of district, or no record request is received from another school. The student will stay at your school as “Inactive”

    • If a school is within your school's district and they send you a records request, do not hold student's record. Per the district, transfer the student to the requesting/receiving school within 3-Days of receiving the records request.


    🚫 PowerSchool Tutorial: No-Show Students

    📌 Definition of a No-Show

    No Show Student – This is a student that was expected to attend your school for the current school year and was not a student at the end of the previous school year, but never shows up.

    Returning Student No-Show: This student attended the school in the previous year, was enrolled on the last day of school before summer and was expected to return after summer but does not show up for the current school year.

    New Student No-Show: This student went through the school’s enrollment process as a new student, but never shows up. This student has no prior enrollment history at the school.

    During First 10 Days of School

    • Mark absent with attendance codes.

    • After 3 unexcused absences, begin Truancy process (if applicable).

      • Truancy will only be implemented if the student attends schools at some point within the first 10-Days.


    🚫 By the 11th Day

    • If the student never attended:

      • Remove all attendance

      • Set attendance to Present

      • Drop student from any scheduled courses.


    🔁 Transferring The Student Out as No-Show

    • Entry & Exit Dates = first scheduled school day

    • Exit Code = NS (No Show/Never Enrolled)

    • Exit Comment = "No Show"

    • Go to:
      Student Profile > School Enrollment > Transfer Out Of School

    • Populate “No Show Reason” in:
      Student Profile > Compliance > SC Student Information


    Grades 7–12: Dropout Tracking

    If student's destination is (W20) unknown:

    • Populate Dropout Reason

    • Set Dropout Date = First day of school


    📚 Scenarios

    Scenario 1: Records Received Pre-Year

    • No Show student → populate “No Show Reason: Transferred”

    • Enter current date to process transfer immediately

    • After transfer, update Exit Date to first day of school

    🚫 Scenario 2: Rolled Over, Never Showed

    • Mark absent first 10 days

    • On day 11, remove attendance & No Show

    • Track as possible dropout (grades 7–12)

    📆 Scenario 3: Missed 1–9 Days, Then Showed

    • Student remains enrolled

    • Record absences (excused/unexcused)

    • Follow Truancy procedures if necessary

    📆 Scenario 4: Missed First 10 Days, Then Showed on Day 11

    • Keep student enrolled

    • Record all absences

    • Do not remove attendance


    🛠️ Reminders for No-Shows

    • Delete EFA record—No-Shows don’t need one.

    • Entry & Exit Dates must match

    • Do not edit previous school’s info
