Sync Invoices to XERO
Navigate to Funding.
Navigate to either the ‘INVOICE TO CLIENT/PLAN MANAGER’ or ‘INVOICE TO NDIA’ panel.
Select the invoice(s) you want to sync.
Click ‘SYNC SELECTED’.
Choose the relevant accounting package (e.g., XERO).
Click ‘Confirm’.
Important Note:
Invoices in INVOICE TO NDIA panel are synced from NDIA Reconciled status, it is recommended that Invoices from the INVOICE TO CILENT/PLAN MANAGER are synced from the sent status.
You will receive an email notification summarising export successes and failures. Successful exports will show the XERO Account Number and sync date in the Funding column.
Invoices can be synced multiple times. To avoid duplication, limit access to the integration link and establish a documented organisational process.
All synced invoices will appear in the Awaiting Payment tab in XERO.
Invoice Details in XERO:
To: Determined by client setup in Funding.
The recipient's name depends on plan management, representation, and Funding settings.
Setting the Funding > Settings > Invoices + Claims > Accounting package invoice name sync options to the selection ‘Sync to custom name based on invoice type + plan management type will impact the contact name associated to the invoice as follows:
To sync all invoices in the client name keep the selection as ‘Sync client name only’
Date: Reflects the sale approval date in Funding, not the payment receipt date. This ensures accurate sales recognition.
Due Date: Defined by the Funding > Invoices + claims > due date period settings in MYP.
Invoice Number: MYP recommends that you set the Funding > Invoices + claims > Retain GENIUS invoice # when pushing to third party accounting package to ‘Yes’. Enabling this setting will ensure you can easily reconcile your invoices in the MYP platform once paid in Xero.
Reference: Displays as REF_Funding contact name_INV_MYP invoice number from Funding.
Item: Shows the item code and description from XERO's inventory account.
Description: Includes the descriptive item from the Funding price book and service date. (NDIS codes are not quoted).
Account: The P&L account assigned in XERO’s Product and services item.
When the invoice is synced this will:
Post the invoice amounts to the P&L.
Create a debtor entry in the contact name based on your Funding settings.
When syncing reconciled or gap invoices, the amount reflects what was received from NDIA, not the original invoice amount. This enables re-submission of unpaid gaps.
Example:
Original invoice amount: $227.53
Amount received: $117.04
XERO will reflect two line items of $117.04.
This process ensures transparency and allows for accurate reconciliation and reclaims.
