    Start in the QBO Advanced Sample company by following the link below. Note that you will need to do the "I am not a robot" step.\ \ <https://qbo.intuit.com/redir/testdrive_us_advanced>

    You must be completely logged out of your QBO account prior to opening the Advanced Sample company or it will just load your own QBO account.

    Using a Template

    Workflows in QBO Advanced are a set of automated tasks. You set up the conditions and then have the tasks done when the conditions are met. You can set up custom workflows or choose one of QBO's many templates. For this exercise, we'll set up a payment reminder workflow from the templates provided.

    From the left navigation bar, hover over Workflows, then click "Templates".

    Note that you may need to refresh the screen to see the templates. Keep in mind that many of the templates have similar names. Read carefully when proceeding with the next step. If the Send payment reminder box is not showing, you may have to use the search bar to search for it.

    Click "Send payment reminder".

    It is important to give the workflow a name so that we can distinguish between them.

    In the Workflow name field, type "Customer Payment Reminder".

    Setting the Actions

    The first thing that you'll need to specify are the actions you'd like QBO to take when the conditions are met. This workflow is set to send a reminder 3 days before the invoice is due. We will leave this as is.

    We have specified that we want a reminder to go out, but how should this reminder be sent? We have several options, but for our purposes, we only want an email to be sent to the customer.

    Uncheck "Create a reminder task in Tasks".

    Uncheck "Send a push notification".

    Setting the Conditions

    Finally, you determine what conditions need to be met for the automated workflow to run. Certainly, we only want this to apply to unpaid invoices, but let's say Craig is only concerned about timely payments for large amounts.

    Click "+ Add another condition".

    In the Select condition... field, select "Invoice balance due".

    In the field showing Less than, select "Greater than".

    In the last field, type "1000". Note that you cannot save workflows in the Sample company. In a real life scenario, you would click "Save and enable."
