Create Summer Sessions Additional Pay on the Self Service Transaction Links Page

This guide provides step-by-step instructions to enter additional pay for a Summer Sessions Teaching Empl Record. Use this guide to create the additional pay in UCPath using the Self Service Transaction Links page.

The additional pay must be entered on or after the Empl Record effective date and cannot be entered before the effective date.

Navigate to UCPath [https://ucpath.universityofcalifornia.edu](https://ucpath.universityofcalifornia.edu/home)

On the **Workforce Administration** homepage, click the **Payroll Tasks** tile.

On the left navigation pane, expand the **Payroll Transactions** section, and then select the **Self Service Transaction Links** option.

Click the **Create** link for **Additional Pay (E-330)**.

Enter search criteria in one or more search fields. For the most accurate search results, use the **Empl ID** field. Optionally, use the **Empl Rcd** to ensure you select the Summer Sessions job.

Click the **Get Employees** button.

Click the **Name** link on the row with the Empl Record for the Summer Sessions job.

Self Service Additional Pay Page

The fields for entry of additional pay appear in the **New Additional Pay** section on the left side of the page. If the employee already has additional pay, it appears in the **Current Additional Pay** section on the right side of the page.

For this example, UCPath displays "No Data present for current Additional Pay."

In the **Earnings Code** field, type or select the appropriate option: - **ACS** for **Additional Comp-Summer-403:** Use this for continuing faculty and lecturers who are in the retirement system and all instructors with Job Code 001550 (Lecturer in Summer Session). - **ASN** for **Additional Comp-Summer-No 403:** Use this for visiting instructors who are not eligible for the retirement system, recalled faculty, and all Academic Student Employees (ASE).

In the **Effective Date** field, type or select from the calendar icon the appropriate date based on which Summer Session is being paid. **NOTE:** If the instructor is receiving the same amount for Session A and Session C, use July 1st for the effective date to combine the payments into one transaction.

For this example, the **Effective Date** is **07/01/2024**.

Refer to the [Summer Sessions Dates & Pay Dates](https://summer.ucla.edu/planning/#date-calendar-summer-sessions-dates-pay-dates) webpage for this year’s session dates and additional pay effective dates.

In the **End Date** field, type or select from the calendar icon the appropriate date based on which Summer Session is being paid. **NOTE:** If the instructor is receiving the same amount for Session A and Session C, use August 31st for the end date in conjunction with the July 1st effective date to combine the payments into one transaction.

For this example, the **End Date** is **08/31/2024**.

From the **Reason** list of values, select **New Additional Pay**.

In the **Pay Period Amt** field, type the additional pay amount that should be paid to the employee per pay period. - Enter the full amount for the session. For additional information regarding how to determine the stipend amount, refer to the [Summer Sessions Planning](https://summer.ucla.edu/planning/#accounting-payroll-faculty-payroll) website. - If the instructor is receiving the same amount for Session A as for Session C, do not enter the combined payment total in this field. For example, if an instructor is to receive $5000 for Session A and $5000 for Session C, enter $5000 in the field. **Do not enter $10,000**.

For this example, the additional payment is set up so that the instructor receives the same amount ($5000) for Session A and Session C, using effective date 07/01 and end date 08/31.

Leave the **Goal Amount** field blank. **NOTE:** This field is optional if you entered the **End Date**. If desired, you can enter the total amount to be paid for Summer Sessions Teaching in the **Goal Amount** field as a precautionary step to avoid overpayment.

For this example, the **Goal Amount** field is blank.

Deselect the **Prorate Additional Pay** check box. **NOTE:** The check box is selected by default. Be sure to deselect the check box.

In the **Applies To Pay Periods** section, select only the **First** check box. **NOTE:** UCPath automatically selects the **First** check box for salaried/monthly employees because they have only one pay period per month.

Verify the **Job Information** section contains the details for the Summer Sessions Position and Job Code.

If necessary, click the **Upload / View Supporting Documents** link to attach a supporting document.

The file name appears in the second column. If the wrong file was attached, click the **Delete Attachment** link.

In the **Initiator Comment** field, enter specific details or explanation regarding the Summer Sessions payment.

Click the **Submit** button to initiate UCPath approval process.

The transaction is routed for approval in UCPath and the routing details appear at the bottom of the page.
