Customers' Invoices in Hosted Solutions

It's easy to find and view customers' invoices in Hosted Solutions. In this tutorial, we'll show you how. 'Invoices' refers to Wash Clubs. The invoices are generated when a wash club is paid for each month. Document #101-0354 Updated 04/15/2025

Log in to Hosted Solutions <https://hosted.hamiltonservices.com/> Navigate to the Customer's tab <https://hosted.hamiltonservices.com/customers> Click on the customer whose invoices you want to see.

Click 'Invoices'.

Enter the date range you're searching for and hit 'Search'.

Tapping on the 'Name' will take you to the customer's profile page.

Tapping on the ID will open a new browser window with the Invoice Report.

Shown below is the new browser tab that opens with the Invoice Report. See how the ID matches what was on the screen before.

Here you'll see the customer's name and email.

Over here shows the invoice date, account number, invoice number, status, and date paid.

Under 'Items', you can see exactly which wash club they're in and that club's description. The price they paid is in the far-right column under 'Price'.

In this example, the card was successfully charged. You can see the card type, and the last 4 digits of the card number here.

If any taxes are included in the price they'll be indicated under 'Tax Total' and the total will reflect the sub total + tax total.

Back to the customer's invoice page. Tapping the 'Record' link will open a new tab with the transaction record.

Back to the Invoices Page. 'Date' is when the invoice was generated. Typically, all of the dates will be on the same day of the month. In this example, the customer may have changed wash clubs or re-signed up on a different day after billing failed. The last bill was generated on January 6, whereas before that, they had been on a billing cycle of the 26th of every month. I assume they switched wash clubs or had a change on their family plan billing.

All Club Statuses will show the same thing. Because this customer is 'Active', now all of the previous club statuses will show 'Active'. If this customer ever goes into credit hold all of the 'Club Statuses' will change to 'Credit Hold'

In this screenshot, the customer went into 'EndBillingPending' just this past month. All previous invoices will also show the satus of 'EndBillingPending' even though they were all successfully paid.

Under 'Options', you can: - Toggle Columns (turning them on or off) - Save Layout (with your column configuration) - Restore Default (restore the column toggles, spacing etc. to the default view) - Reset Spacing (reverts the columns to the default dimensions) - Export (as .CSV) - Fullscreen (displays the report large on the screen)
