Hiring a New Employee in UKG

Ensure you have the background check, fingerprints, Work permit (if applicable), and Checkster before starting this process. This guide outlines a step-by-step procedure for hiring a new employee using the UKG system, ensuring all details are accurately entered and verified.

Enter Time Online

Click here.

Click the HR icon and select "HR Actions"

On the "Available" tab, locate Hire a New Employee

Click "Start" on the far right

Search for the applicant in the"Choose Applicant" field.

Click to select the applicant.

Click "Continue"

Enter the Hired Date.

Enter the Started date. This date should be 3-5 days from now.

Account Status must be set to **Preboarding** Remove the username, as the system will assign the correct username

The Applicant's address, default cost center, Location, and Job should populate from the applicant profile and job req. Verify that this information is correct and update it if needed. Enter the correct social security number and date of birth if not populated, as these are required fields.

Make sure the full Default Cost Center is correct and matches the Job. Select the Employee Type.

Click **+Add** to add the Base Compensation. (Employee's pay rate)

Select the "New Hire" option.

Enter the Effective Date.

Click the "Amount" field and enter the rate.

Click "Per"

Select the "**Hour**" option for hourly staff.

Click the "Hours" field.

Enter the number of hours they will be working each week, then select the "Week" option.

Click "Save"

Click "OK"

Click "Manager(s)"

Select the "Direct Supervisor".

Select the "Next Level Supervisor".

Click "Continue"

You can upload any missing items here, otherwise, click "Submit"

Click "Submit"

Click "OK"
