How To Create & Edit Alerts in Trakopolis

Alerts are a great way to get quick and timely notifications on asset events and rules like odometer reading, enter/exit events, driver actions, etc.

You may have seen this alert window at the top of your screen or while you work on training. Let's look into setting alerts and how to make them appear here.

Click Admin > Alerts >"Alerts"

Note that this is in a different place than the Alerts Icon next to the tracker page. To Manage, Create, or Edit Alerts you will need to go into the Admin Menu.

You will arrive at your Alerts List. Here is where all your alerts will live.

Creating an Alert

Click "New Alert"

Enter the Name of the Alert that describes the rule you are about to set for it.

You can choose to add links to Trakopolis Map Location, Google Map Location or just to the alert itself in Trakopolis. This will be included in any delivery message you set in a few steps.

If you want to set a time parameter you can activate the "Day and Time limitations" to ensure you are only getting alerted of actions that happen in a specific window. If this is not selected, the alert send at any time it is activated.

These next checkboxes should be on by default but you can choose if it will be shown in the alert center at the top of your screen or if it is active, (this is a great way to enable/disable an alert without deleting it if you will want to use it again in the future.

Clicking the "Highlight in Alerting Center" will make the alert red in the above alert center.

Click Next to continue configuring your alerts.

You will then want to select the category of the rules you are going to use for your alerts. If you want more information on these categories, please reach out to [training@geoforce.com](mailto:training@geoforce.com)

Tip! You can select multiple rules that exist on the same page, for example On Real Time Rules I can use Odometer & Geofence.

Next, you will want to select the Asset Groups or Single assets to which this alert applies to.

Tip! This is where having asset groups can come in handy. Once a rule is applied to an asset group any asset added to the same group will automatically have the alert applied.

Once your assets or asset groups are selected, click Next.

Now we are going to set up our rules, this drop down will allow us to see what rules are available to us based on what we chose in the previous steps, then click insert.

You can add multiple parameters to one alert, as long as they will work together.

Alert! You will want to play close attention to this operator, "AND" means all the parameters and rules you build below must happen at the SAME TIME in order for the alert to trigger, "OR" means any of the parameters can happen at any time to trigger the alert.

For Example, I cannot do Entering "AND" Leaving a Geofence because that action cannot physically happen at the same time for a single asset, in the same instance I cannot use "AND" to Enter two different Geofences because an asset can only be in one place at a time. This would be an example of where we would want to make sure we are using "OR"

Complete the requirements for your parameters, and click Next to continue.

Here we can edit what is displayed in the notification. You can click on the text box to help you add autofill tokens to the notification. This will auto populate with the appropriate information in the alert.

Tip! Depending on how your parameters are set up you may see more than one text box here. \ \- If you used a single parameter or the "AND" operator in the previous step you will only see one.\ \- If you used the "OR" operator, you will see a message box for each of the parameters you created.

If you want to schedule an EMAIL or TEXT to be sent each time the alert is triggered you will want to select the appropriate action in the drop down and click insert

Next you will select the users you want to receive this alert. It will be sent to the information provided on the user profile.

You will also want to select the same asset or asset groups to ensure they are getting the alert for the appropriate asset.

When you're all set, click submit.

Your Alert is created and ready for use!

Viewing Your Alerts

You can either click "see more..." in the alerts center or go to the ALERT menu and click "Alerts"

You can set up your report on the alerts you are looking for. You will filter down by the choosing the applicable options.

Then Select the alert types and alert names you want to view, you can either look at all of them (which is the default) or select just the ones you want to see. As well as the date range you want to see the alerts for.

You will then need to select the file type you want to download or choose to schedule this report.

You may experience a slight lag between clicking the file choice and the download executing. Please be patient as it load, the more alerts you look at the longer it may take to download.

Editing Your Alerts

Go to Admin > Alerts > Alerts

Find the Alert you want to change and click "Edit"
