STN - How to Set up a Workflow for Staff Member Transaction Automation in HubSpot

This guide provides step-by-step instructions on how to clone and edit a workflow in HubSpot that will set up automations for assigning new contacts and transactions to their corresponding staff member as they come in.

Click "Automation"

Click "Workflows"

Go to the "Staff Donation Owner Filters" Workflow View (you can also go directly here by clicking this link: <https://app.hubspot.com/workflows/43906074/view/17708207>

Click "Search workflows" and enter the name of the location the new staff member is a part of (i.e., California, Hawaii, etc.)

Hover over one of the staff members listed and click "Clone"

In the "Name the new workflow" field, delete the other staff member's name and enter in the new staff member's name (be sure to use the same spelling and arrangement you have been using for all other setup items). Delete "(cloned)" at the end of the workflow name.

Click "Clone"

Under "Payment enrollment trigger" Click "Name contains any of..." (the staff member you cloned will show up here; we're wanting to update that to the new staff member's name).

Under "And associated Line Item has all of:" Click "Name contains any of..."

Click the box next to where the old staff member's name is listed. Enter in the name of the new staff member in this field (exactly as you have been previously listing) and hit return on your keyboard to confirm.

Press [[meta]] + [[v]]

Click the "X" next to the other staff member's name to delete.

You should now just see the new staff member's name. Click "Save"

Under "1. Set property value" click next to the old staff member's name.

Under "Contact Owner" type in the name of the new staff member to locate them in the list and select.

Click "Save"

Under "2. Set property value" click next to the old staff member's name.

Under "Owner" type in the name of the new staff member to locate them in the list and select.

Click "Save"

Under "3. Set property value" click next to the old staff member's name.

Under "Deal Owner" type in the name of the new staff member to locate them in the list and select.

Click "Save"

Under "5. Set property value" click next to the old staff member's name.

Under "Subscription Owner" type in the name of the new staff member to locate them in the list and select.

Click "Save"

Click "Review and publish"

Click "Yes, enroll existing..."

Click "Turn on"

Click "Back to workflows" to exit.
