    How to Import and Update Student and Related Service Data

    Alert! The workflow that copies Related Service Object properties into associated Student Objects automatically runs every Monday at 5 PM EST. In order to prepare for the workflow, association labels should be imported every Monday prior to 4 PM EST. During BTS season, this workflow will run Mondays, Wednesday, and Fridays at 5 PM EST, so imports should be made on those days as well.

    Click "Association Import Needed" View. If this view isn't already on your list in Related Services Objects, go to the Add View feature to add it.

    Go to "Object create date/time" and make sure that "Last 7 days" is selected (this should already be pre-filtered) as part of the view.

    Click "Export"

    Click "Click here to download."

    Prep the Excel file once exported. You can remove all columns except Record ID and Student ID. Add a column of Association Label. Each record will need one of the following associations: - Student receiving related services - Student withdrew - Student's related service removed from IEP TIP: Consider keeping the Related Service Object record names to determine which type of association label to use. Records related to withdrawal or removal of service will include this information in the naming convention. Save the file on your desktop when finished.

    Return to HubSpot and click "Import"

    Click "Start an import"

    Click "Import file from computer"

    Click "Next"

    Click "One file" and then click "Next"

    Click "Multiple objects" and then click "Next"

    Select "Related Services" and "Students" for the types of objects you'd like to import and click "Next"

    Click "choose a file" and upload the file from your desktop

    For "Choose how to import Students," select "Update existing Students only" For "Choose how to import Related Services" select "Update existing Related Services only"

    Click "Next"

    Click "Student and Related Service"

    Map the fields to match the screenshot below. Then click "Next" - Record ID - Related Services - Student ID imported as Student properties / Student ID - Association Label imported as Association Label / Student and Related Service
