Review the Occupational Therapy Services dropdown menu and make sure that the type of service matches what is on the student's IEP. Update if necessary. Check the OT Referral Status. If you've already started meeting with student for therapy this school year, select "First Session Held." If the student has been assigned to your caseload but you haven't met with them yet, select "Therapist Assigned." Remember to go back and update this when you've held the first therapy session.

Enter the Date this service started (2023-2024). This is the first date of therapy (not the first attempt if student cancelled, and not the date you contacted family to schedule therapy). If you haven't started sessions yet, please leave this field blank and update after the first session has been held.

Check the "Related service minutes per month:" field and make sure it matches what is on the student's IEP. Update if necessary. If the student's minutes are changed mid-year, remember to go back and update this field.

Click the "Occupational Therapist ID Number:" field and enter YOUR Pearson Online Classroom ID number. This will auto-populate your name in the Occupational Therapist Name field below. If you've taken on students from someone else's caseload mid-year, you may need to replace the former therapist's ID number with your ID number.

Confirm that the Vendor - Occupational Therapy Services (2023-2024) field lists your company name. You may need to update this if the student has switched companies/therapists mid-year.

Occupational Therapy

External providers and therapists should only complete fields for the areas in which they provide services.

Service Type is typically entered by a school staff member prior to referral.

Referral Status is typically started by a school staff member and later updated by the therapist to document “First Session Held.”

Service Start Date is the first date on which a therapy session was held with student.

Service Minutes should be entered by the school staff member prior to referral and updated by the therapist if there is a change in minutes by the IEP team.

Therapist ID number is the Pearson Online Classroom (Connexus) ID number assigned to the therapist.

Provider is the company through which the therapist is contracted. If your company is not listed, please select “Other Vendor Not Listed” from the menu.

Related Service Status should be updated by the therapist when the first session is held for the school year. If you have attempted to schedule sessions but have not met with student, select “Services Attempted but not Attended.”

Connexus

Therapists are responsible for maintaining fields of the Vendor Management Data View which correspond with their areas of related service.  Fields within the Vendor Management Data View "talk to" the Special Education Data View, so any changes in the Vendor Management Data View will be reflected in the Special Education Data View.
