NetVendor Maintenance - The Make Ready Process

Navigate to <https://app.servusconnect.com/> [[Once here log into the platform using your credentials and your companies designated method.]]

Once you are logged in, click the "Make-Readies" button.

This will take you to the Whiteboard view in the Digital Make Ready Board.

The NetVendor Maintenance system will, in most cases, automatically start a Make Ready for a unit when it goes on Notice or when it is Vacated (in the case of a skip or eviction). You can also manually add a Make Ready if you need to. We will cover that later.

There are several Views available in the Make Readies tab.\ \ Click on the "Schedule" button and this will take you to a calendar where you can drag and drop task.

Click on the "Vacancies" button and this will take you to a view of the status of all Vacant and On Notice Units.

Click on the "Tasks" button and this will take you to a view of all Tasks in the Make Ready Board.

From this view, if you click on the ellipse on the right side you can perform a variety of actions for any individual task. These include: Mark as Complete, View Details, Schedule, Reassign, Confirm, Start, Complete, and Remove.

Click on the "Whiteboard" tab and go back to the Whiteboard view.

From there click on a unit number to open the Make Ready for that unit.

Here you will see all tasks associated with this make ready.

At the top of the page click on the pencil button to start unit notes for this unit. After this you will be able to access them from the schedule page.

Enter your notes and click "save changes" to start your unit notes.

Again, from here if you click the ellipse, you can perform a variety of actions for each item in this make ready.

Click "Assign" to assign a task to a team member or vendor.

Click the "Service Professional" field.

Click the team member you want to assign this task to.

Click "Confirm"

When you are doing your assignments of tasks, you can also add vendors to your make ready. In this case the vendor has not been assigned a task before. Click on the "Assign" button in the ellipse.

Click the "Service Professional" field and begin to search for the name of the company.

If your vendor has not been used on your property before they will show up with (Create New Vendor) behind their name. If they have been used on your property before then they will show up in your vendor list as you type. Now click on their name.

Click "CONFIRM" and they will show up in the schedule.

Please note that at this time, adding a vendor in the schedule for a make ready does not engage the vendor in any way. It does not give them access or notify them that a task has been assigned to them. It is simply a tool for you to use to add them to your make ready board.

Click "Schedule" to put a date on the schedule for that task.

Click the date field.

Choose the date you want to enter and click on it.

Click "confirm" to lock it in.

It is our recommendation that you complete the above scheduling and assigning for each of the tasks that will take place during the turn for each unit.

Click "Remove" to remove any unneeded tasks that populate from your template.

Then click "confirm" to remove it.

From here you can also add additional tasks that may not have been in your template. At the top of the task view simply click the "new task" button.

Now you can add a new task for this make ready. You need to pick a category that it will go into and give it a name, as seen in the next steps.

Click the category that the task will be in.

Type a task name in the task name box and click "save". This will add a task to your make ready.

Please note that it will be very helpful for you to be as consistent as possible when adding custom Tasks. This will be very helpful for future reporting purposes.

Now click on the "Make-Readies" tab again to go back to your schedule view.

Now you can see that after entering all the assignments and scheduling for a given make ready all your dates are here in the schedule view. Now complete this for all your make readies.

There are several other things that you can do in while working in the make ready tab.

You can post comments in any task. Here when you click on "NTV Inspection" we open this NTV Inspection task.

Click in the "Write a Comment" field and as with Service Request simply add a note.

Then click "Post" to have it added to the comments section of the task.

Click on the "Activity" tab to see all activity related to that task. This is a great place to research which team member took which action, and when they did it.

Click on the "Related" tab to see items, such as inspections that are related to this task. From here you can view completed items or launch items that remain to be done.

From the scheduling page, click on a task to open that task.

Or if there are multiple task a selection window will open when you click in the box. Then select which task you want to open.

Once open you can take many actions. You can "Mark as complete, or use the ellipse to open the drop down for other actions.

When your done, click the X to close the task.

You can also mark a unit as ready. Click the Make Ready Star.

Once the box opens, click in the date box and select the date you want to mark the unit as ready.

Now simply click "Confirm" and your unit is marked ready in NVM.

If you find that a unit is marked ready but should not be you can also take it off of ready status. Simply click on the green make ready star.

When the box opens asking if you are sure then, click "Confirm".

As mentioned earlier, once you have started a note in a make ready, the note paper will be next to the unit number. You can click on icon to see the note that is there.

Click on the pencil to edit or add to the note.

Enter your additional notes and click "Save changes". This will update the notes.

From time to time you will need to manually add a Make Ready. The steps are as follows.

From the scheduling page for Make Readies, click the "NEW MAKE-READY" button at the top right of the screen.

Click in the "Select a Unit" box and pick a unit for this turn.

Now enter the appropriate dates for NTV, Move-out, Target Ready Date, and Move-In if you have it, and click "Save". This will add a new make ready to the board.

In the schedule view you can sort ascending or descending by Move-out Date, Target Ready Date, or Move-In Date. Simply click on the arrow in the column you want to sort by.

You can also filter the view in the schedule tab. Click on the carrot in the box next to the Schedule.

You can filter by click on one of the selections that comes up.
