Taking a Vehicle from Another Driver Who Is Still Assigned.

Make sure they are following these steps to take a vehicle from another driver. This should automatically assign it to them and any drive from that point on should be under the new driver. If this is not happening it could be a bigger issue support needs to get involved in.

Locate the Vehicle you will be driving either by nearby location or by name

Tip! A vehicle may not automatically pop up on this list if it is already assigned to another driver, however, you should still be able to enter the name of the vehicle in the search bar and claim it from another driver.

Click the vehicle to claim it

This message will pop up and will only appear if another driver is still connected to the vehicle.

Click "Yes" to claim the vehicle under the new driver.

Continue on as normal with Trailers, Shipments, inspection etc.

End the Day / Disassociate From Vehicle

This should be done at the end of each day if possible to prevent the previous process of "stealing a vehicle from another driver" from needing to happen.

Click where the name of the vehicle is listed.

Click (X) to remove/disassociate your self as a driver. This should prevent anyone who drives after the fact from falling under the previous drivers logs.

Then Click "No vehicle" to continue the end of the day process

You will see here that there is NO VEHICLE assigned to this driver.

Then you will go off duty, AFTER you have dissociated your self from the vehicle. you have two options for going off duty.

Option 1 - For Going Off Duty

Alert! Putting your self off duty will only change your status it WILL NOT REMOVE the driver from the connected vehicle. This must be done by following the steps 6-10 above.

Click HOS

Click "OFF" (you will notice at this point Drive/SB are not selectable because the driver is NOT CONNECTED to a vehicle. If they are still connected they will be able to select drive and it will be the same color as the off/SB buttons.

Option 2 - For Going Off Duty & Preferred method.

Click your name in the top right corner of the screen or the person icon.

Click "Log out"

You will have the option to verify your logs, if needed. You should also see any edits that need to be verified.

You can verify one day at a time, all days, or skip for now (which will leave them unverified)

Make Sure "Off Duty" is selected

Click "Verify and Log Out"

If they have followed these steps, they should be removed from the vehicle, placed in off duty and ended their day.

Editing Logs / Verifying Edits

Any edited logs, will not show as changed until the driver has accepted and verified the changes in the drive app. (unless the user doing the edits is editing their own logs on the database side)

Click "Activity"

Click "HOS..."

Select your driver you want to edit

And Select your time frame

Click "Apply changes"

Lets say we need to change this log to an "OFF DUTY" Log If you click on this part of the log a list will open below.

Select the corresponding log you want to edit.

Before you make any changes, Click the "Annotations:" and add the reason you are making these changes

Click this dropdown, and select the updated status.

When this pops up click "Yes"

it will be followed by this screen letting you know that its sending this request to the driver, Click "OK" to send this to them to verify

OPTIONAL IGNORING A LOG (Not an Edit of time or status): Should you not need to change anything, but just ignore the log, you can do that here by clicking "yes" here, it will still ask the driver to verify that this log should be ignored, so make sure to add an annotation of the change. Ignoring a log removes it from the Hours of Service totals. Ignoring can be used if a driver forgot to put themself into an exception like "Yard Move" or "Personal Conveyance"

Once you click on save, you'll see that the log has a yellow box indicating an edit has been made, but since it has not been accepted or verified it will not change until the driver completes their steps.

Alert! this may take about 15-30 min at most to push to the driver.

Option 1 for Verifying Edits

After a driver selects the vehicle when logging in for the day, they should be prompted to verify logs, here they will see any unverified logs or edits that have been made.

They will be highlighted in yellow with the note from the annotation.

The Driver must click "Accept and verify"

Then click "Agree"

Option 2 for Verifying Edits

Click this icon.

Click "Logs"

Find the day of the edit, using the arrow buttons next to the date

They should be able to find the day that has edits and click "Accept and verify"

Then Click "Agree"

From there it should turn green, verified, and reflect the change made.

If the driver is not seeing recently made edits, he can push for a sync by going to "More"

Click "Check for updates"

Alert! This may still take a bit of time to show on the database side, but once this is completed you should see it reflect green, verified and change on the admin side as well.
