Creating an Event
Alert! If you are unable to complete any of the following steps, please make sure you have contacted SLICE and been confirmed as the new Designated Scheduler.
2
Click "Event Form" in the upper right hand corner.
3
Type in your event title.
4
Click "Search organizations" and start typing the name of your RSO. Tap the star by your RSO to skip this step in the future!
Tip! Clicking the star by your RSO's name will mark it as a favorite. That means it will automatically drop down when you select this box in the future!
5
Click the "Expected Head Count" field and type the number of people who will be in the meeting.
6
Click the "Event Description" field and type the description for your event. This will be the public description displayed on the RSO Events Page, so make sure it looks good!
7
Click this date to choose the first date you'll be meeting. Click the times to change the meeting start and end time.
Alert! The **earliest** you can schedule is three days out (since we may need to coordinate more event details with you or other departments). The **latest** you can schedule will typically be Monday of Finals Week of the current quarter. However, events in non-academic spaces, such as the SURC, can be scheduled for next quarter. Large events can be scheduled one year in advance. **If you would like to schedule a date that you can't select**, please let us know! It's essential that 25Live is accurate so we can locate people in case of an emergency.
8
I want to add a couple of minutes before my meeting to get set up and add a couple of minutes after to mingle. Click "Additional Time" and change the "Minutes" boxes to add time before and after your event.
9
Let's make this a recurring meeting! Click "Repeating Pattern"
10
Click the dropdown. I chose "Weekly."
11
You can either have it repeat a certain number of times or repeat through to a certain day. I'm going to have it repeat through April 15.
12
You can also click dates on the calendar to add more occurrences. All occurrences will have the same times as your first meeting.
13
*UN*check "Hide Conflicts" and "Enforce Headcount". They will hide locations that might work!
14
Click the "Search Locations" field and type the name of the building you would like. For training purposes I'll use the SURC. For most rooms on campus, the name is the first 4 letters of the building and the room number (such as SAMU104, NICH222, or HESC101). **You can select multiple rooms!**
Alert! **If you can't find your location**, search for and select the location "Not Listed." Other room options include Virtual Event, Off Campus, or SURCTBL (if you would like to table in the SURC).
Tip! If an option says "Unavailable," it isn't available for any of your occurrences. The yellow "Reserve Available" means that the room is available for at least one occurrence, but not all of them. The green "Reserve" button means the location is available during all of your occurrences. You can see why a room is unavailable by clicking the "Conflict Details" button.
15
Maybe SURC215B - Section B of the ballroom - is our number 1 choice. Click "Reserve Available"
16
SURC201 can be our backup. Click "Reserve"
17
Scroll back up to the calendar and click "Manage Occurrences" and click the "x" by SURC201 to remove it from certain occurrences.
18
You can see that SURC215B and SURC201 are both on the reservation.
19
While we're in "Manage Occurrences," let's change the time for one of our meetings.
Tip! If your event falls outside of building hours in an academic building, we will ask Facilities to adjust the building hours so it will be open during your event. This is free!
20
Click "Close" to exit Manage Occurrences.
21
Open the dropdown and choose your meeting type.
22
Complete the rest of the required questions.
23
Click the "Comments" field to add any information you want us to know, such as if you will need to use the projector in a room in the SURC.
24
Carefully read the affirmations, then click "I agree" and then "Save."
25
A popup will appear in the bottom left.
Alert! Your event is NOT confirmed until you receive an email from Scheduling Services with a confirmation attached.
26
To see a list of your meeting's times, dates, and locations, click "Occurrences" and then click "following occurrences"
You're done! If you have any questions, please don't hesitate to contact Scheduling Services by visiting us in person in SURC146 or at [schedule@cwu.edu](mailto:schedule@cwu.edu) or 509-963-1321
