    Open the invite email

    Meeting invites are sent to your Outlook Mail's Inbox folder. To open the invite email, click it once to open it in the preview window, or double-click it to open it in a pop-out window.

    Read through the invite to see the date, time, location (in-person meeting room, Teams online meeting, etc), and description of the meeting

    Respond to the invite using the buttons at the top right. You can either "Accept", "Decline", or mark yourself as "Tentative". - You can add a message to the meeting organizer by typing it into the "Add a message" box **before** clicking one of the buttons below - ACCEPT: If you plan on attending the meeting, click the checkmark button to "Accept" the meeting invitation - TENTATIVE: If you might not attend the meeting, click the question mark to respond as "Tentative" - DECLINE: If you cannot make the meeting, click the "X" button to "Decline" the meeting invitation

    PLEASE NOTE: Once you've responded to a meeting invite, the invite email will automatically move from your "Inbox" folder to your "Deleted Items" folder in Mail even if you "Declined" the invite. If you responded as "Accept" or "Tentative", the meeting will appear as an event block in your calendar for the scheduled date and time of the meeting. If you responded as "Decline", the meeting will not appear in your calendar but the invite email will still appear in your "Deleted Items" Mail folder.

    Find the event in your Calendar

    If you responded to the invite as "Accept" or "Tentative", the meeting will automatically be added to your Outlook Calendar for the scheduled day and time of the meeting.

    Double-click on the event block to see the meeting details including the date, time, location, and description of the meeting. If the meeting is booked on Microsoft Teams, you may also see a "Join" button that lets you join the meeting from this details window.

    Change your response to the invite

    You can change your invite response from this window if needed, such as "Declining" a meeting that you have already "Accepted". To do this, find the event block in your Calendar, double-click it and click "Change".

    Select a new invite response by clicking the applicable button. If wanting to add a message to the meeting organizer, type it into the "Add a message" box **before** you click the response button.
