**Purpose**\ To produce canine whole blood from canine whole blood donations.

**Restrictions**\ May only be carried out unsupervised by PBB staff who have been trained in this procedure.\ All processing of donations must be carried out in the designated clean area with the exception of Fresh Whole Blood where supply is direct from the donation session.\ Personal Protective Equipment must be worn when processing donations.\ No food or drink may be stored or consumed within the designated clean area.

**Notes** 1. Fresh whole blood requests are received directly to Pet Blood Bank UK in office hours 9am-5pm Monday-Friday or Out of Hours (OOH) at all other times. If the request is received via the host venue while performing a donation session, please request the venue contacts Pet Blood Bank UK directly to place the order and receive cost information. Follow INF/SIS/83 for supplying products and services to veterinary charities. 2. Any blood spills during collection or processing, however small, must be dealt with in accordance with SOP/H&S/01 3. All product abnormalities must be recorded to allow review on the appropriate product storage log FRM/SIS/10 and/or FRM/PRO/01. 4. Any non-conformance or processing issue must be recorded on FRM/QUA/04 using SOP/QUA/04. 5. Refer to INF/SSM/09 for blood bag and line nomenclature.

Note - Calculation to convert canine blood product weight to volume\ **Product weight (rounded down to whole number) (g) – weight of bag (g) x 0.94 = volume of product (rounded down to whole number) (ml)**

Note - Bag weights\ Collection bag 30g (+/- 1g)

Note - Abbreviations\ FWB – Fresh Whole Blood\ SWB – Stored Whole Blood

Note – Administration of Fresh Whole Blood within 24 hours\ Fresh Whole Blood must be administered within 24 hours of the collection time. If platelets are required to be viable blood must not be stored below 20°C. This will mean that blood collected can only be transported for up to 8 hours from the donation venue to ensure there is reduced transport time and adequate time for the administration process. Deviation from this is at the discretion of the recipient dogs Veterinary Surgeon.\ It is important to note that these timelines are maximum and wherever feasible this time should be minimised.

Note – Storage temperatures of blood products\ FWB should decrease slowly from body temperature and be stored at room temperature 22°C ± 2°C, for viable platelets.

Note – Steps\ **Step 1 will be carried out by PBB Customer Services Team (in normal work hours) or Out of Hours Team (out of hours).**\ Step 2-8 will be carried out by the Collection Team and managed by the collection session veterinary surgeon and phlebotomist.\ Step 9-14 will be carried out by the Laboratory Team in conjunction with SOP/PRO/01.

Step 1

**Receive request for Fresh Whole Blood.** 1. This will be via phone directly to PBB. 2. Review the request with the customer. (FRM/SIS/09 or FRM/SIS/22)\ Ensure FWB is the customers required product. (Alternative blood products may be readily available at PBB, refer customer to PBB website for further blood product decision making and Canine Blood Component Table INF/SIS/19 (as required). Ask if patient blood type is known. Manage customers request, ensuring potential time frame is suitable for customer’s recipient. Inform customer a “FWB Package” includes canine FWB, canine typing kit, blood administration set, transfusion worksheet within the transport box as standard. (This is an all-inclusive charge and consumable items are part of this package and are not deductible from the fee.) Review the delivery requirement for blood. Ensure customer is informed of all associated costs. 3. Contact session veterinary surgeon or phlebotomist. 4. Discuss potential available donors and time frame with session veterinary surgeon or phlebotomist. (Use PBB rota to find nearest session to customer and contact details.) 5. Communicate further with the customer. (Review FWB request with customer providing time frame, or support as required if no donor available. If customer choses to proceed with order, advise that they will be charged as the product is being made for them “special request product” and therefore you are ensuring they are aware of this.) 6. Update session veterinary surgeon or phlebotomist to instruct that customer wishes to proceed and place order or if order has been cancelled. (To aid managing session staff time.) 7. Complete relevant Order Form and file (FRM/SIS/09 or FRM/SIS/22)

Same DEA 1 status blood to be provided or DEA 1 Negative blood supplied where recipient blood type is not known.

Session venue details available on the PBB Rota, where no session is running on day of request offer further support to find alternative product (as required).

Session staff will review available potential suitable donors – Repeat donor with known blood type, not requiring screening. An alternative venue if no donor available at chosen venue may need to be investigated - repeat steps as required with alternative session.

Courier to be arranged by PBB/customer or customer may choose to collect directly from the session. Call courier for quote if required.\ Inform customer of product costs, any administration charge and potential courier fees before proceeding.

Step 2

**Select donor and confirm details – only after FWB Unit request is confirmed** 1. Ensure blood donor selected is a routine donor. 2. Ensure blood donor selected matches paperwork held and has the same blood type that has been requested

Ensure the donor dog is NOT due any screening tests at this donation.

Donor’s blood type must be confirmed as either DEA 1 Negative or DEA 1 Positive

Step 3

**Collect blood.** 1. Follow SOP for Blood Collection - Canine. (SOP/COL/05, see Note 2.) 2. Complete all steps required apart from storage into transport box to PBB.

Ensure the unit does not require micro screening.

See Step 6 for recording donation on FRM/COL/05

Step 4

**Remove needle and satellite bags and create aliquots** 1. Process Whole Blood Unit for supply from Donation Session and separate from satellite bags by placing permanent line seals on to collection line as per Line Sealing Methods information document. (INF/EQU/17) 2. Send needle, satellite bags and remaining line back to the laboratory in plastic zip lock bag labelled with donor number and FWB.

Ensure line has been stripped/prepared and aliquots made to accompany FWB for further testing as required.\ INF/PRO/12 & INF/EQU/17

If more than one unit has been supplied, each collection line must be returned in a separate zip lock bag labelled with the donor number and FWB.

To be discarded by Laboratory Team - needle into sharps bin and satellite bags into clinical waste.

Collection line to be used for quality control aliquots and recorded and retained as per SOP/PRO/02

Step 5

**Complete labels.** 1. Complete the donor and collection details on the blood label FRM/SIS/52.\ • Product Name - (at the top of the bag with product details and small product unit ID labels at the port end.)\ • Unit ID\ • Blood Type\ • Collection Date & Time\ • Expiry Date & Time - (24 hours from time of collection for Fresh Whole Blood and 21 days from day of collection for Stored Whole Blood.)\ • Volume - **(For volume, refer to notes on calculation to convert canine blood product weight to volume, and bag weights.)** 2. Fix label onto blood unit.

INF/PRO/11 – ensure separate Canine Stored Whole Blood label is provided in the event potential recipient does not require FWB after blood has been dispatched and further storage is required.

Expiry date is 24 hours from time of collection for Fresh Whole Blood and 21 days from day of collection for Stored Whole Blood

Write the name of the product at the top of the bag with the product details and small product unit ID labels at the port end.

Step 6

**Record FWB details.** 1. Record FWB unit aliquot number onto the Collection Record Form. (Number is found on the collection line.) Record on FRM/COL/05. 2. Record name & postcode of receiving veterinary practice (customer) on the collection record. (For laboratory to use. This is so the laboratory can update the storage log.)

Step 7

**Package FWB unit.** 1. Place FWB unit in a zip lock bag. (Always handle with care.) 2. Wrap unit in bubble wrap. (To keep insulated.) 3. Place wrapped unit into FWB transport box. (Ensure no air gaps.) 4. Ensure all equipment is present in the FWB transport box. (To ensure administering practice has everything it needs to perform a transfusion.) • Product FWB data sheet (INF/SIS/05) •Transfusion Monitoring Record (FRM/SIS/05) •Blood administration set •Canine typing kit •Product SWB data sheet with SWB label (INF/SIS/06 & FRM/SIS/52) Place in a separate bag within the box. Label to be used in the situation this blood unit needs to be kept as stored whole blood •Royal Mail Returns Label INF/SIS/04 5. Store completed package in a safe place to await transportation/use. 6. Liaise with the PBB office, Out of Hours staff member or host venue to confirm blood unit is available.

Repeat steps for any additional units supplied – 1 unit per FWB transport box.

Ensure environment is stable i.e., not too cold or too hot. NEVER PLACE IN A FRIDGE OR NEXT TO RADIATOR

PBB office / OOH - are responsible for calling to arrange a suitable collection time with courier or customer, they will also inform the customer of all associated costs.

Step 8

**Start transportation.** 1. Hand FWB package to courier, vet staff or owner. (At arranged time, ensuring courier knows that delivery is time critical, and any deviation must be notified to the customer immediately.) 2. Inform PBB office or Out of Hours staff member of dispatch. (So that customer can be informed if required)

Step 9

**Receive unit attachments.** 1. Refer to Receipt of Canine Donations for Processing SOP. (SOP/PRO/01)

Step 10

**Preparation of quality control aliquots and record number.** 1. Locate line & needle (Stored with collection session units.) 2. Heat seal off needle at line A. (Discard needle in sharps bin.) 3. Re-mix the blood in line using a line stripper. Create two equal WB aliquots and place WB aliquots in original zip lock bag in preparation of labelling. 4. Add the aliquot number onto the Lab Collection Record. (To be used for label printing later.) **INF/PRO/06**FRM/PRO/03 5. Discard satellite bags and any spare line into clinical waste.

Step 11

**Issue label(s) via Orderwise.** 1. All information to be entered into Orderwise will be on the Lab Collection Record. FRM/PRO/01 **INF/PRO/06** 2. Print a unique label for blood product

Product information labels show: Product name, Unit ID number, DEA 1 Blood Type, Collection Date, Expiry Date and Volume (ml).

Step 12

**Complete storage logs.** 1. Attach the small unique product ID number to the storage log. 2. Enter unit details on the storage log. 3. Write the customer to whom the unit was supplied.

Step 13

**Label two FWB aliquots.** 1. Remove two FWB aliquots from the zip lock bag. 2. Label the aliquots with a small unique product unit ID label. 3. Discard the remainder of the label into the clinical waste bin.

Step 14

**Store aliquots and complete documentation as required.** 1. Label FWB aliquot with the specific donation centre and date using a small plain white label. 2. Store in zip lock bag for month collected. 3. Place in fridge. 4. Follow steps as required in SOP/PRO/02.

The aliquot can be added to sessions aliquot bundle

Aliquot zip lock bags must show month and year.
