Salesforce Basics : Using Global Search to find Records, List Views and more!

Basic Searching

The **Global Search** function is permanently available at the top of any Salesforce Page

Clicking into **Search** will provide **Instant Actionable Results**, based on your general activity in Salesforce - which might already include what you are looking for!

For instance, you'll see the 5 most recent **Records** you have viewed, across all **Objects**

But lets suppose we are looking for a **Contact** called Josh Davis. As we start to type his name in the **Search Bar**, relevant **Records** start to appear. In this case there is only one relevant Record presented.

If you have more results, check whether it is the right Record, by hovering over the Record name and a Summary of the Record appears on the right-hand side.

Select the right Record by clicking on the Name....

...and the full Record will open.

Find Multiple Records Meeting Criteria

Its not just individual Records that you can find in **Global Search** For example, you might want to view ALL Opportunities for a certain Account to help understand the extent of the business relationship. Let's see if we can find all the Opportunities for our Edge Communications client. Before we start the Search, we're going to set the Search to just focus on Opportunity records. Click "Search All"

Select "Opportunities" from the drop down

You'll see the Search is now set to look for "Opportunities" only. Click in the "Search" field and type the name of the company you want to find Opportunities for A drop down of the first 5 most relevant results will appear. If one of these is what you are looking for, Bingo! Just click on the relevant Record and off you go.

To see more results, hit "Enter" You'll then get a longer list (although this example only has 4 results, you could get many pages worth!).

Reviewing Search results this way, enables you to **Refine** further on the left hand side. For example we can narrow this search result further to those with the Stage "ID Decision Makers". Click the "Stage" field

Select "Id. Decision Makers" And the Search result narrows further to relevant Records. You can now go ahead and select the relevant Opportunity by clicking on the Hyperlinked Opportunity Name

Search for Criteria Across Multiple Objects

Pro Tip! You don't have to limit your search to just one Object. Looking for a name across multiple Objects is great for understanding the extent of a relationship with an Account or Contact. It's also a top tip for checking out duplicate records, misspelt names or sister companies in a corporate group that you might have missed just searching for the Record you are familiar with.

Perhaps you want to get a broader view of the extent of the relationship with a company. Ensure the search is set back to "All" and then type the company name in the search bar. Then, rather than selecting a particular record, hit "Enter".

Your Search results will show ALL Records relevant to this name, across all Objects. In this example you can see on the left-hand side that there is 1 Account Record, 4 Opportunities Record and 2 Contact Records available, but nothing in the other Objects.

You can scroll through the Search results to find the Record or information that you want.
