      This guide will walk you through how to save and schedule reports. If you need assistance in creating a report prior to saving, see the guide "Create a Report" in the [Reporting](https://clctoolbox.thinkific.com/courses/reporting/) course.

      Save a Report Template

      Your report settings can be saved and returned to. When you return to the report template the data will reflect the "live" data. (Saving a Report Template does not save the results shown in the report—only the settings. If you want to save a snapshot of the current results, export the report.)

      To begin, start with the report you would like to save opened. \ \ Click REPORT ACTIONS in the upper-right corner.

      Click SAVE AS.

      Click into REPORT NAME to add an easily identifiable report name and a description that provides context.

      Toggle on "Sharing" if you want other people to be able to view the report. \ \ Toggle on "Editing" if you want other people to be able to make edits to the report.

      Click SAVE to add it to your "Saved Templates" section in Report Manager.

      Back in Report Manager, click SAVED TEMPLATES to access the report you saved.

      Click the title of the report in blue to access it. Click ALL to see report templates saved by other users.

      Schedule a Report

      By scheduling a report, a recurring email with a link to download the report file will be sent to your selected recipients, according to your chosen frequency and start/end date.

      Scheduling a report is an easy want to deliver progress metrics to your team. \ \ It is also a way to remind yourself to capture snapshots in time of various campaign metrics, so once downloaded you can graph progress over time. For example, if once a month you download spreadsheets of how many people have responded to a given survey question, then you can graph those numbers to show the rate of response.

      Now that your report is saved, click REPORT ACTIONS again.

      Click SCHEDULE.

      Alternatively, while initially saving your report you can select SAVE & SCHEDULE as opposed to SAVE.

      If you want to narrow the report down to a more specific audience, click into CONTACT RECORDS.\ \ An example might be: your development team wants to see which major donors RSVP for a given event. So, you create a saved search of major donors and use that to narrow report results in this step.\ \ Most times, the default "All Contacts" is used.

      Click into USERS to select who the report should be sent to. Search by typing the name you want to add. You can add anyone with a user account with access to your org's database.\ \ Click into ADDITIONAL RECIPIENTS to add email addresses for contacts who do not have access to your org's database.

      Your organization or campaign may have strict limitations on exporting data out of VAN or EveryAction, often for good reason. Consider who should get an export of the system's data.\ \ An alternative approach is to share the link to the live report with people. Their ability to export that data will be determined based on their user permissions.

      Click into SCHEDULE NAME/EMAIL SUBJECT to add a relevant and contextual name to add to the email. An example might be, "Weekly RSVP Report - Annual Fundraiser."
