    Attending the Session

    Log in to Mindbeat with your credentials - coaches.mindbeat.app/home and navigate to your sessions on the dashboard.

    Navigate to the upcoming session on your dashboard and click on "Attend session".

    You can also access the session through your calendar or My Members page and find the particular Member.

    Once you've clicked on "Attend Session", a new window will open asking you to check your microphone and camera, set your background and click "Join" when you're ready.

    Please be careful! Once you’ve joined, the counter starts, if you’ve entered early please make sure not to click on End Session as it will end the session for the Member also and mark the session as missed.

    If you're experiencing issues with the video call, click on "Help" and it will display tips on how to fix the possible problems.

    A pop-up will appear on the right side making it possible for you to still be on the call with the Member. When you're done click "Close".

    When you start the call you can communicate with your Member via chat if there are any issues with the video or sound. You can also communicate switching to Zoom or phone if there are platform issues.

    These notes are accessible to both you and your Member. Shared notes will be visible to your Member once your session ends and vice versa, you'll be informed that there are notes for you to see via email 15 minutes after the session.

    This is a safe space for you and your Member, their line manager can not access the notes in any case.

    These are your private notes. Private notes will only be visible to the person who wrote them, so you can keep anything you would usually write down somewhere else on here.

    Your session notes will always be available to you - you can navigate to the "Notes" on your Member's profile to review and add to these notes at any time between sessions.

    If there’s an issue with the platform, you can use Zoom as a backup. It will require you and the Member to coordinate switching to Zoom in the chat below the session screen and clicking on the “Switch to Zoom” button at the same time.

    Please use this feature only if you have a professional Zoom account. Make sure to be logged in to Zoom and have it running in the background before clicking on the "Switch to Zoom" button!

    Ending the Session

    Once the session is done, click on the "End Session" button.

    If you held the session via Zoom or phone, please make sure to come back to the platform window and click the "End Session" button when you finish the session for the platform to register it correctly and trigger feedback.

    If everything went well and the member attended the session choose "Mark the session as held" and proceed to leaving feedback.

    If your member hasn’t joined the session and you followed protocol (waited for 15 minutes and attempted to contact your Member) you will have to mark this session as missed.
