Terminating a Tenancy in CRM

This guide provides a step-by-step process for terminating a tenancy using the CRM platform, ensuring that users can efficiently navigate the system. It simplifies the often complex task of managing tenancy details, making it accessible even for those unfamiliar with the software. Tenants can also be removed individually from the Tenancy if required.

Navigate to the Tenancy you wish to terminate.

Terminating the Tenancy

Follow this process to cancel the whole tenancy, if you are removing a single tenant follow that process.

Set the **"Vacating Date".** Click this text field and set the date the tenants are vacating the property. This is purely for information reasons.

Click here to enable the Vacating date option.

Set the **'Tenancy End'** date to the date the tenants are vacating and click **'Save'**

Click here to 'Save'

If you are using the compliance screen to track the starts and end meter readings. Click "Compliance"

Click **"INITIAL AND FINAL METER READINGS"** and update the readings as required.

Click here to **'Save'**.

The final rent will show at the bottom of the screen in the 'Final Rent' field. If the tenant is leaving before the end of the tenancy a manual rent invoice will need to be created.

To terminate the tenancy, click the 3-dot menu. Click **"Terminate Tenancy"**

Set the tenancy end date and the termination reason. Then add any notes that you require.

Click **"Terminate"**

This will archive all tenants and the tenancy record. If you are removing a tenant from the tenancy then this is done from the

In a **Tenant** record, click the 3-dot menu.

Click **"Remove From Tenancy"**

At the top of the screen it will show 'Archived' and 'Removed from Tenancy'

Click **"Tenancy"**

In the Tenant record of the **Tenancy** the tenant will show as Archived

Additional Information

There is an option in Accounts Configuration settings: ‘Stop Rent Due on Tenancy End Date’, which uses the Tenancy end date to stop rent invoices being automatically generated and can be switched on or off (if on, need to remember to extend Tenancy End Date for rolling tenancies, if off, need to remember to terminate tenancies before the next rent due date after the tenancy end date). N.B this is a global setting so will affect all tenancies. If the tenancy end date is on, at the final date of the agreed tenancy the final invoice will be automatically generated. If it is a rolling tenancy and the tenancy end date is before the end of the monthly rent period, an invoice for less than a full month’s rent will need to be created The final invoice would not be generated automatically, so you could create a Tiered Rent using a minus figure which will automatically create the final invoice when it is due (Tenant Record>Financial>Add New Tiered Rent>Effective Date>Fixed Amount>Enter minus value>Save). Alternatively you would generate the final rent invoice manually.
