Update the Reports To Field for a Vacant Position

This guide provides step-by-step instructions to update the Reports To field for a vacant position using a Position Control Request in UCPath.

This process works for vacant Positions only. If the Position is filled, update the **Reports To** field using PayPath Actions. Navigate to UCPath [https://ucpath.universityofcalifornia.edu](https://ucpath.universityofcalifornia.edu/home)

On the **Workforce Administration** homepage, click the **Position Management** tile.

On the left navigation pane, select the **Position Control Request** option.

Add/Update Position Request Page

In the **Transaction Type** section, select the **Update Vacant Position** radio button.

Click the **Next** button.

In the **Effective Date** field, type or select the appropriate date from the calendar icon.

In the **Position Number** field, type the position number that requires the update.

Click the **Search** button.

In the search results, click the **Select** button for the position to be updated.

In the **Reason** field, type or select **RTC** for Reports To Change.

In the **Work Location** section, in the **Reports To** field, type or select the new position number this position reports to. **NOTE:** Reporting structure is determined by Position. This change updates which Position the incumbents report to, not the specific person. In the event of a staffing change (e.g., transfer, separation), the reporting information does not need to be updated because it is tied to the Position data rather than Employee or Job data.

Click the **UC Position Data** tab.

If the **HR Worksite** field is blank, type or select the appropriate ID using the following format: - **4-XXXX**, where the number 4 represents UCLA and XXXX is the 4-digit department code.

For this example, the HR Worksite ID **4-3550** was added.

Click the **Supporting Documents** tab.

Click the **Add Attachment** button if supporting documentation is available.

Click the **Choose File** button, select the appropriate file, and then click the **Open** button.

The file name appears to the right of the **Choose File** button.

Click the **Upload** button to attach the selected file to the transaction.

The file name appears in the **Attached File** column.

Click the **Save and Submit** button to initiate UCPath approval process.

The Position Control Request is routed for approval in UCPath and the routing details appear at the bottom of the page.

Positions are maintained locally. After the Approver reviews and approves the transaction, the change is complete in UCPath.
