What DeGroote profile information can be edited on WordPress

Profiles require a lot of information to be accurate and up to date. To ensure this process is as easy as possible, aspects of the content population flows in from three different areas: HR's Employee Management System (EMS) McMaster's MacExperts Profiles DeGroote WordPress Backend The below guide outlines what can be done on the DeGroote WordPress backend by anyone with Editor level access.

Connecting to the VPN and logging in to WordPress

1. Connect to the McMaster VPN via Cisco Anyconnect. 2. Navigate to<https://degroote.mcmaster.ca/wp-admin> 3. Complete the first step using your MacID and password. 4. Provide your 2FA code using your generator (ex. Microsoft Defender).

If you visit the site often be sure to bookmark the [/wp-admin](https://degroote.mcmaster.ca/wp-admin/) URL for easy access in the future.

Finding the profile you need to update

To get started click "[[Profiles]]" on the left hand menu.

This takes you to all active profiles. The fastest way to search for someone to update is to use their [[MacID]]. Click the "[[Search Profiles]]" field and enter the [[MacID]] then hit '[[Search Profiles]]'.

Once you found the profile you would like to update click "[[Edit]]" or on their [[MacID ]]to open the profile.

Updating a profile

Updates to profiles on the DeGroote website can be made by anyone with Editor access, but only specific information can be updated on WordPress. The below are in order of how they appear on the backend of our website: 1. Tags (bottom of profile) 2. DeGroote Article Rotator (Articles Showcase Tag Selector) 3. LinkedIn and Google Scholar Icons (URLs) 4. Designations 5. \*Education 6. \*Experience 7. \*Recognition 8. Area Chair (Yes/No) > Prompts Area 9. Available to Supervise (Yes/No) > Prompts Area 10. \*DeGroote Videos *The asterixis signifies elements only added on a case-by-case basis as they are labour intensive.*

If you try to update a content section that is pulling in data from another source, the external source will override whatever is on DeGroote's website. For example this would apply to a Name change, or a Bio for a faculty member with a populated MacExperts profile.

Tags (bottom of profile)

You can update the tags shown at the very bottom of a profile by clicking the field "Tags" and starting to type. This will populate available Tags to reference. You will not be able to add new one.

By adding Tags to profiles you will allow that profile to showcase on the shared Tag page. For example: <https://degroote.mcmaster.ca/tag/dean/>

DeGroote Article Rotator (Articles Showcase Tag Selector)

For Articles to show on DeGroote profiles the proper Tags must be references to pull in content. Click on the '[[Articles Showcase Tag Selector]]' field and use the lookup to find the Faculty members name.

This is used for Faculty only, and it is best to keep to their NAME or their position only for the very senior team. For example: Khaled only has "Dean", "Dean Khaled Hassanein" and "Khaled Hassanein"

LinkedIn and Google Scholar icons (URLs)

Some Faculty members will showcase their LinkedIn, X, or Google Scholar accounts on their MacExperts Profile already-- and that will flow in to "Websites". But if you would like to have the featured icons at the top of the profile those must be added on their own.

To update, click "[[Linkedin URL]]" and paste in the URL.

And similarly, click "[[Google Scholar URL]]" and paste in the URL.

At this time we do not recommend featuring X (formerly Twitter) accounts, but if a Faculty member insists there is the option.

Designations

These three profile elements are not updated for all Faculty members. As they require more copywriting and fact checking they are limited to senior leadership based on request.

Click the "FER Designation" field.

Education, Experience, and Recognition

Education is shown first, and it acts like a normal text box. We suggest listing education as bullet points and linking out to the schools mentioned.

Below Education you will find "Experience" to utilize if needed.

As well as "Recognition" shortly below.

Area Chair (Yes/No)

You can select whether you are an area chair or not by clicking the radio button under "Area Chair" If the answer is YES, a drop down will appear to ask what Area Dept.

Available to Supervise (Yes/No)

You can select whether you supervise PhD's or not by clicking the radio button under "Supervise PhD" If the answer is YES, a drop down will appear to ask what Area Dept.

This is a critical radio button for any Faculty member that wants to appear on the [PhD website](https://phd.degroote.mcmaster.ca/academics/available-to-supervise/). If the selection is: 1. NO they will not show up 2. YES the will show You must also ensure anyone who is set to YES for supervising also has set [[Site | PhD]] as one of their websites or they will NOT show on the PhD website.

DeGroote Videos

Adding videos to profiles is the most labour intensive. There are steps below but we would suggest requesting support from the Marketing team before doing this on your own. Please reach out to Katie Almas ([almask1@mcmaster.ca](mailto:almask1@mcmaster.ca))

Videos are held within a carousel and are linked to our DeGroote YouTube page found here: <https://www.youtube.com/@degrootebiz> In the section titled "[[Video Carousel Repeater]]" you will need to give each video a Title, as well as load the coordinating URL.

To add space for another video click the "[[Add Video]]" button at the bottom of the section.

There cannot be an empty field or you will not be able to save. Knowing how to remove an empty row is important

To remove a video row click the "Minus Icon" and it will remove both the Title and URL.

For Marketing folks, there is a [detailed guide here](https://scribehow.com/shared/Update_Faculty_Profile_with_YouTube_Video_Links__jn6r-hkzQlyVH56U_ytUIQ)

Publishing your changes

When you are done updating the profile scroll all the way back up to the top and click "Save".

If you get an error scroll through the profile to find a red error message and correct your work.

To ensure you are happy with the added content click the "[[View In New Window]]" icon.

Once the page loads do a hard refresh to ensure you are seeing the most up to date profile view: - Chrome/Firefox/Edge: [[Hold down Ctrl and press F5.]] - Safari: [[Hold down the option and command key then press the ‘E’ key.]] Review the profile, and if all is well you can log out of WordPress.
