Squeeg

Once you have gone past the business profile, Squeegee will open on the Customer screen. From here, go to 'settings'

Then 'general'

and 'use logo as avatar' option which adds your logo to your app

Now go to Connected Services to add automated payment services.

Click Stripe to add card payment options

Click through to either connect your account or sign up to Stripe

After you've entered your password, you'll be sent a code using 2 factor authentication

Once this is entered (for businesses who already have stripe), you're account will be connected. The sign up process in Stripe is very straight forward. For more information visit <https://docs.stripe.com/get-started/account>

Connecting GoCardless is a similar process

Go to connect your GoCardless Account

Then either open an account or sign in

For businesses who already have an account with GoCardless, sign in with your details here

For bank reconciliation, go to Add your Bank Provider Via Truelayer

Then connect from the next prompt.

Click on your bank from the list, most UK banks are supported other than Metro and Co-op

Allow Truelayer permissions to access your banking data

Followed by your bank account details

You may also be asked to provide further information such as the email address associated with your bank account

On pressing continue, you will likely be asked to authenticate through your banking app to complete setup.

Back to settings, move down to Jobs and Scheduling to set some of the defaults.

We're not going to look at every setting, just the recommended ones before really trialling the app. Setting the default job duration helps speed things up when adding new jobs.

You can set any default frequency here, ad hoc or any number of days, weeks or months.

Again, to save time when adding new jobs, add the default job duration here.

One of the most important settings to understand when it comes to replanning appointments - is the 'Replan Always Updates Schedule' setting.

As an example:\ On moving a regular 4 weekly appointment from a Monday to a Friday, there are two options. \ **Option A** to keep future appointments as originally planned on Mondays (meaning the next appointment is only 3 weeks 3 days away from the last done one, or,\ **Option B** which updates the schedule to now be every 4 weeks on a Friday retaining the 4 week frequency for the next appointment.\ \ For Option A leave the toggle switched off, for Option B toggle the setting on.

For the simplest use to navigate to correctly pinned addresses, toggle the setting to automatically choose navigation method. \ This will default navigation to co-ordinates, where a location has been pinned.

Next go to skip reasons to add some defaults and charge options

To add reasons just go into the predefined skip reasons,

Add new skip reason by just typing any default

Which will then open the charge options of no charge, a fixed charge or percentage charge

When a charge is added, an invoice is generated for the percentage or fixed charge amount.

Next there are customer deactivation / delete reasons

To add defaults, just type each on a new line

Lastly, to start trialling you'll be verifying a few addresses. The default lookup provider is set here,

click through to try other options if you're finding some locations are not being returned in the results.

Next, move onto Notifications and Messages to set defaults and templates.

The default notification method is the one used for appointment reminders and automatically sent invoices on job completion. Outbound emails don't incur a charge, SMS messages have the charges displayed on the SMS settings page.

Choose the default notification method for new customers added to Squeegee which can be changed on the customer record itself individually.

Next go into SMS settings

Click "Enable Squeegee SMS" - this is one way messaging that can either come from a name up to 11 characters which is no reply, or replies can come into a single handset if you enter a mobile number (these replies don't show in Squeegee though).

Add a business name or number. Numbers require a two factor code to be entered from that number and Business Names go through an approval process.\ \ We also recommend adding mobile prefixes in the next field to make sure sms messages aren't attempted to any landline numbers.

To enable SMS replies in Squeegee, there is the standard 2 way messaging or 2 way with private number. Standard 2 way messaging uses a pool of numbers owned by Squeegee that we monitor closely, 2 way with private number uses a number unique to you but comes with additional charges for inbound messages too. More detailed information can be found in the messaging section of the guides.

It's a good idea to enable auto-topup so sms messages don't fail to send when the account runs out of credits. These can be set to top up when the account reaches a lower limit of 100, 250 or 1000

Next the email settings are set to Squeegee smtp one way by default

The in depth instructions for connecting 2 way email can be found in the messaging guides. For one way email, there is the option to set a 'reply-to' email address too.

Next go to the reminder templates to make these read as you want them to.

For each template there is a different email and sms version as there are more options on email to customise, whereas SMS is plain text. \ \ Each has a list of available tokens at the top that will pull through information from the customer or job to keep all messages looking personalised.

We would advise going through all the templates you're likely to use, this one is the sms appointment reminder

At the top of each of these it will show an approximate number of credits that will be used up each time you send the message.

The email automatic payment invite shows an example of the kind of template that can be created in html from the editor. More in depth information on this in the Messaging guides.

Lastly for notifications and messages settings before you start trialling the app, go to Canned responses.

These are really useful for sending bulk messages to a round, a day's work etc when needed. Press new canned response,

Add your message, a title and any tags to identify the message

This is how they look once created.

Next, go to Invoices and Payments

If you have an account with Square, you can enable this here (this needs to be done on the device that will be being used for tap to pay options)

The default payment period can be set to any number of days then adjusted on individual customers if needed.

To have the invoice message template sent out automatically on job completion, toggle this setting

Add default invoice notes here

This is generally where businesses add their payment terms and BACS details if applicable

There are then fields to add email, telephone and website options to the invoice template

Even if you're not likely to be adding any expenses straight away, it's a good idea to set expense tax now

and sales tax

(which can be hidden globally on invoices if you wish)

as well as the rate

There are lots more settings to further customise various parts of the app, tailoring it to your business, this guide was just to get a few things set up for your trial.
