ACES Study Abroad Course Approval

If you were abroad for a full summer, semester, or academic year, and need to have your completed courses applied to your Illinois transcript, follow along!

Check if the transcript from your Institution abroad was uploaded to your [study abroad account](https://app.studyabroad.illinois.edu/index.cfm?FuseAction=Abroad.Home) under the Documents tab. This is needed for Illinois to review your course approvals. You may need to request it yourself, which can take additional time. Navigate to the [new study abroad course database](https://courseapproval.knack.com/illinois#db-home/)and click "*Sign in with UIUC*"

Search by your host institution.

Find your courses in the list, and hit "*View/Add*" on the right-hand side.

You will get a pop up form for each course selected. Put in the **term** and **year** that you studied abroad, mark if you want to the transfer the course for a **grade or[CR/NC](https://registrar.illinois.edu/registration/registration-process/credit-no-credit/)**, and if you're using it to **fulfill a specific requirement**.

Tip! ACES students can transfer up to two semester courses or one summer course back as CR/NC as long as it isn't being used as a major, minor, or gen ed requirement.

When the form is filled out, click "*Submit: Go to My 'Reviewed Courses'"*

Go back to the "*International Course Equivalencies*" tab to add all of your courses.

Tip! If one of your courses is not listed in the system, you need to [request a new course.](https://scribehow.com/viewer/How_to_request_a_course_approval_using_the_Illinois_Education_Abroad_Course_Approvals__g9C1gC_gRNG-0kcx29QpJw?referrer=workspace) You must include all of the courses that will appear on your transcript even if they are not fulfilling specific requirements.

Once you have your courses in the "*My Reviewed Courses*" tab, you can then click "*Add to 'My Registered Courses'*".

When all of your courses are added to your "*My Registered Courses*" tab (and have the correct grade or CR/NC designation!), click "Print" in the top-right corner.

Print the document to a PDF and save the PDF as "*UIN_Illinois Education Abroad Course Approvals*" (ex: 123456789_Illinois Education Abroad Course Approvals)

Navigate to [Study Abroad Course Approval Summary Form - ACES](https://appserv7.admin.uillinois.edu/FormBuilderSurvey/Survey/uiuc_aces/oap/studyabroad_coursereview_aces/) to submit your PDF.

Click "Log In"

Review the Memorandum of Understanding. Check all the boxes and click "*Continue*".

Complete the form, upload the PDF of your registered courses from Step 9, and include any notes about specific requirements you are planning to fulfill if they are not listed on the PDF. Submit the form.

The form will be routed to ACES Study Abroad for review. If everything looks good, your form will then go to your Academic Advisor for review. If any changes need to be made, the form will route back to you and you'll receive an email with instructions.

Tip! Please be patient! This process may take up to two weeks to complete.

Once your form has been approved by ACES Study Abroad and your Advisor, it will be sent to the Registrar for processing.

Please note! It can take 8-10 weeks for your audit to be updated once the Registrar receives your transcript and the course approval form, so please do not delay.
