Adding, Viewing and Editing Customers

Learn how to add a new customer in the system, including their contact details, notes, and communication preferences. This guide also covers viewing customers and editing them.

Adding a Customer

To create a new customer, head to the Customers list and use the pink three dots to 'Add New Customer'.

The only **mandatory** fields here are 'Name' and Address'. Simply click into the 'Name' field and type the customer's name.

To add the address, click into the 'Address' and search the address.

Type in the main part of the address you want to use to search for the location. The best options to use for this are the street number and name, along with the postcode if necessary, but you'll be able to see from the suggestions if a match has been found. Here, you are just searching for the pin location.

Any matching locations will show below - click on the correct one best matching your search. Don't worry too much about the text - you'll be able to edit this below. In the 'Search Address', you're just looking for a matching pin location.

If you cannot find the exact location matcher suggestion, simply remove some of the text from the search until you find an appropriate match. You will then be able to manually adjust the text on the address below.

Below, you can adjust the address **text** shown on this customer. This means you can use the relevant information to search for the pin, but then add in further details to complete your address description/text.

Once you're happy with your text entry, click 'SAVE'. This will take you to the map view so that you can pin the job location accordingly.

Adjust the pin location to the correct place. You should pin this **as close to the road as possible**, rather than on top of the property. The route optimisation function uses road access to determine the most efficient route, which is why we would advise pinning on the road.

Once you have pinned as desired, you can adjust the text if needed. Finally, click 'Pin Here' to save the location.

You can input the customer's email address here if needed.

You can also add their phone number, any alternative phone numbers and a source if you have one.

If multiple contacts need to be included in the notifications sent from Squeegee, you can add them all to the phone number/email field - you'll just need to separate them with a comma, no space. E.g. email1@email.com,email2@email.com

You can add any customer notes to the 'Description' field if needed. These can just be plain text, or if you want searchable tags, you can use # for normal notes, or #! for important notes. Important notes will show on the customer overview in areas such as Customers or Work Planner. E.g. #paysbycash or #!has-dog

Next, you can choose if the customer's balance is £0, or if they're in owing/in credit and by how much.

Here, you will be able to set this particular customer's **default notification method**. This is how the system will send out notifications, such as invoice notifications or appointment reminders, to this customer. If the customer does not have a default notification method set, the system won't know where to direct these.

You can then set how the invoices will generate/send on job completion for the customer. The default will be set according to your global settings in Settings > Invoicing & Payments, but you can alter this for individual customers.

You can also configure the invoice email attachments, you can choose: - Invoice as PDF (this may be particularly useful for commercial clients who have strict policies on email links) - Invoice Attachments - Job Attachments - Occurrence Attachments Once you have selected which ones you need to apply, click 'Apply'.

You can decide whether to hide 'Stripe pay with card on invoices', ' Stripe credit or debit card set up on invites', 'GoCardless signup on invoices', and 'GoCardless direct debit signup on invites'. The default will be set according to your global settings in Settings > Notifications & Messages/Invoicing & Payments.

You can choose to track time for the jobs on this customer. Again this will be set by default to your global settings - you can change this in Settings > Jobs & Scheduling. Please note job time recording is only available on the ***Ultimate*** subscription.

You will also be able to choose the tax rate and decide whether to show tax on invoices for this specific customer. These will be set to your default global settings which you can alter globally in Settings > Invoicing & Payments.

You will be able to set a custom payment period if required for this customer as well as include default invoice notes and add additional notes.

Here you can decide whether to keep the global settings to hide pricing from workers and planners or adjust this for this individual customer. The 'Require Signature' field is also editable here.

You will be able to add a custom field for the customer by clicking through and selecting which one needs to be attached. Please note custom fields are only available on the ***Ultimate*** subscription.

You can set whether the customer has accepted or declined marketing.

Finally you can decide the state of the customer as either: - Active - Inactive - Prospect

Once you are happy, click 'Save'.

Viewing the Customer

You can click into the customer profile to see: - Description (this can include any important notes that need to be seen quickly) - Automatic Payment Method - Notes and Activity - Customer Attachments - Any jobs/appointments/quotes You can also click the pink three dots to add a job, quote, appointment, record a payment/refund, send messages, create invoices or request payments.

You will also be able to see their financial history by clicking into the customer finance tab, this will show any payments/invoices for the customer.

You can check their message history and any alerts by clicking the corresponding tabs.

Editing the Customer

You can edit the customer by clicking the top right three dots > edit customer. In the same list, you can also 'Deactivate Customer' and 'Delete Customer'.

The 'Edit Customer' form is almost the same as the New Customer form, so you can adjust anything as required here before clicking 'SAVE' in the top right.

Searching and Filtering on the Customer List

In the top left corner of the Customers list, you will be able to filter the list to order it based on: - Alphabetical - Owing - Debt Age Oldest - Debt Age Newest - In Credit - Distance From Me - Round

You can also filter the list by clicking on the cog in the top right corner of the screen.

You can then toggle on which customers you would like to be included in the list - you can pick from: - Show Active - Show Inactive - Show Prospective - Only overdue invoices - Only 'Off Schedule' Then click 'Ok' to update the list.

You can also search for specific customers, addresses, notification methods and much more by using the search icon in the top right corner of the screen.
