Admin Interface: Quick Search Tab

In this walkthrough, administrators learn how to use Quick Search to find profiles, registrations, and memberships when providing customer support.

The new admin interface is being released in phases. At this time, no action is required, and enabling the new interface is optional. This walkthrough explores the Quick Search tab.

Note: This walkthrough is demonstrated using the HorseReg platform. Left navigation labels may vary slightly by sport-specific platform, but overall functionality remains the same.

To activate the new admin interface, log in, then select your account icon (your initials) in the top-right corner and choose *Enable New Dashboard* from the dropdown menu.

The Quick Search tab helps administrators find and support members. It is available at any time from the left-navigation admin menu and displays profiles, registrations, and memberships in a clear, linear format.

Start by entering at least three letters in the search bar, or select a search type such as email address, date of birth, mailing address, postal code, phone number, or member number. Note: Dates of birth must be entered in a valid format (for example, YYYY-MM-DD), and phone numbers must follow a valid phone number format.

Click the *Search* button to submit your query. If a value is invalid, you will be prompted to correct it before the search completes.

If you are having trouble finding the correct person, use the filter options to narrow your search. We recommend starting with an email address, as it is usually unique. Date of birth can also help distinguish individuals with the same name.

After you submit a valid search, results appear on the same page in up to three sections, starting with *Profiles*

*Registrations*

and *Memberships*

Each section displays up to five results at a time and includes pagination controls to browse additional results.

Profiles represent individual people in your system. Each person has a profile linked to a user account, which is typically managed by a parent or guardian.

Select the linked user to view all profiles associated with that account. Each user account includes at least one profile and may include additional profiles, such as dependents. Linking profiles allows coaches or club administrators to register athletes for events without creating duplicate profiles. This is also useful when youth athletes reach adulthood and require their own login, while family members still need access to linked profiles for family or group discounts.

Select the *External* icon to open a profile’s *Identity Details* page. This page displays key personal information, including name, date of birth, gender, and email. From here, administrators can manage memberships, registrations, notes, education cards, and other related records.

Similarly, the *Registrations* section displays all event, program, and club registrations associated with a profile.

Select the *External* icon to open a registration record, where administrators can edit details, review submitted forms, view payment and order information, and resend confirmation or follow-up emails.

For more information about an event, open the event’s *registration dashboard*.

Finally, the *Memberships* section displays all sport organization memberships for a profile.

Select the *External* icon to review a membership. From here, administrators can review requirements and waivers, view purchased products or groups, update member records, and manage follow-up communications such as emails or documents.

To view additional details for a membership organization, open the *membership dashboard*.

The Quick Search tab is always available through the search bar in the top navigation menu.
