Arbiter Migration Mapping Tool Workflow

What is Mapping? Will it be bringing teams into my account?

**What mapping does (and doesn’t) do:** Mapping does **not** bring any teams into your account. Mapping simply ensures that **events tied to an already‑existing team** land in the correct place **if those events are opted in for migration**—either by you or by your opponent. Even if you haven’t opted in to migrate those events yourself, mapping still helps by: - Identifying when an opponent’s event is tied to a team that already exists in your account - Flagging that event as a **duplicate**, so it **won’t be added to your schedule** In short: mapping helps prevent duplicate events from being created during migration, but it does **not** add teams or events on its own. **MISSING TEAMS within the tool?** The teams we are making available for you to map, are those that have an event linked to it that is opted in for migration. Any other teams do not need to be mapped at this time.

ACCESSING THE TOOL

When the mapping tool loads click **"Start Mapping"** to get started.

STEP 1 - (DO THIS FIRST) Review Previously Mapped Items

All data requiring mapping in this tool, represent teams that have 2026-27 and beyond schedules in your Source data. rST customers that have "Opted In", it will represent the data you requested to be migrated.

**In the upper "Mapped Teams" section**, you will see teams we've already mapped for you. The **"Source"** column on the left are the team names coming from your previous scheduling platform. The 2nd column is the suggested match. The **"Arbiter"** columns are team names we've mapped to in Arbiter. Review these mapped teams and click **"Approve" or "Unmap"**. ***IMPORTANT:*** *The team it is mapped to **will be where any data such as schedules or rosters will be transferred to**, so make sure these are accurate.*

STEP 2 - Review Incomplete Mappings

**In the middle "Unmapped Teams" section**, you will see teams that we were not able to map. The **"Source"** column on left are the team names coming from your previous scheduling platform. The 2nd column is the suggested match (if applicable). The first option here is to select **"Pick Existing Team"** and use the search feature to see if there's an existing team in Arbiter to map with.

If you cannot find an existing team to map with then the second option is to use the **"Create New"** option. Use the pickers to create a new team by selecting a gender, level, and sport

The third option is to choose "Don't Map" if you do not need the team brought into Arbiter.

After you've addressed each team click **"Submit Mappings"** ***IMPORTANT:*** *The team it is mapped to **will be where any data such as schedules or rosters will be transferred to**, so make sure these are accurate.*

STEP 3 - Submit Mappings (Ready to Migrate)

Once all teams have either been approved or mapped, at the top of the screen, the buttom to "Submit" will appear. Click "Submit" once you've confirmed all the mappings and they are ready to go.

CO-OP's

If your school has Co-Op teams you will see the option to map those as well. You can add the schools that are part of the Co-Op and also **assign a team name**. When the school is **blue with a star**, they are marked as the **host school**. Simply click the school name to change it. If the mapped team in Arbiter **does not include ALL of the schools**, please select "Create New Co-Op". You can merge the new team with the matching team that's missing schools, in Arbiter Game under Resources once the schedules are migrated.

DIFFERENT SCHOOL

Need to map it do another school such as a middle school or junior high you are associated with? Click the checkbox, "Map to a different school".

A pop-up will appear asking for the Arbiter Entity ID of the school. You can always find that # in the top right corner next to the school name when logged in to that school. Ensure you enter it correctly.

Once the Arbiter entity is entered, it will display the name of the school. Make sure it is correct, if it is not, you can uncheck the box and enter the entity again.

Once mapped to the correct entity, you can select the team to map it to from the dropdown. If not available, you can click "Create New" to have it added with the migration.

INVALID TEAM

If you have the sport, please attempt to map the team. If you see levels or gender combinations you don’t recognize, those are likely coming from opponent data. In those cases, map the team as closely as possible to avoid duplicate events during migration. Only use “Not a Valid Team” if your school does not offer that sport at all or the team does not list a sport, gender AND level data. When selected, the team will grey out and be excluded from mapping. You may click it again to reverse. REMEMBER: All teams listed are connected to an event and need to have a place to "land". So if you have the sport/activity, please map to the best option within your team list or Create New.

SCHOOL ONLY SCHEDULE "TEAMS"

If you have a School Only schedule that is **not necessarily a team**, you will select "Other" for the Sport, select "Other" or any other applicable Level and "Gender". In the Optional field, you can add a custom title for it in the Squad Name field.

SQUADS (Unique Team Names)

If your school happens to have multiple teams with the same Activity, Level & Gender, then you will need to assign a **Squad Name** to each. An example would be if you have 2 Elementary Boys Curling teams, you can specifiy which is which via the Required field to enter a **Squad Name**.

UNAPPROVE MAPPINGS

Click down to the bottom section to see all mappings you have either approved or submitted.

You have the option to Un-verify any of them and it will return to the section it originated.

UNMAPPING

If you want to change the current mapping, click Unmap to edit.

Then select the appropriate mapping either from the existing list or by creating a new one.

Click "Submit Mappings" once completed. It will move down to the "Verified" section at the bottom of the page.
