This guide shows how to set up and control a white‑labeled Client Portal so clients can securely view tailored reports, keyword performance, reviews, tasks, media, competitors, and downloads without accessing your full dashboard. It explains inviting and managing portal users, previewing the client view, and precisely configuring which features and data each client can see. Follow it to confidently customize access and protect sensitive settings.

The "Client Resources" page contains two sections: The Client Portal and Review Generation. This guide will focus on the Client Portal, a white‑labeled interface for clients to view reports, keyword performance, and other insights without accessing the full dashboard. Your clients can log in to a custom dashboard to manage their business, restricted by your settings. On the Client Portal page you can: - Go to settings to enable, disable, or customize portal features for your client - Invite a portal user (client) - Preview the portal to see what the client sees.

To access the "Client Portal" click on "Client Resources" in the business navigator.

Navigating Client Portal Page

The "Client Portal" section provides the following controls: - A "Settings" button (more on this later in the guide). - An "Invite Users" button (Portal Users control who can access the client portal) - A "View Portal Preview" button. - The Portal URL (Copy the invite link to send manually to your clinets). - A list displaying all Portal Users.

Invite and Managing Portal Users

To invite users to the Client Portal, click the "Invite Users" button.

You will immediately taken to the "Settings" window and into the "Access & Users" section. (Alternatively, you can click "Settings" and "Access & Users" to also arrive here. In this section, we can perform three user functions: - 1\. Invite a Portal User: - Click in the "[client@email.com](mailto:client@email.com)" field. - Enter the client's email address you wish to invite as a portal user. - Click the "Send Invite" button. - A brief message will appear letting you know the invite was successfully sent. - The user will receive an emailed invite to the set up an account through the portal. - 2\. Check an existing portal user's information and status in the user list. - This includes the user's name, email address, current status (invited or accepted), the date they were invited or accepted. - For those with a current status of "Invited" there are two additional functions next to their names: - Click the "Resend the invitation' to send out another request. - Click the "Copy invite link" to get a Portal invite URL to send manually). - 3\. Remove an existing Portal user by clicking the "Remove" button next to their name. Note: clicking this will remove the user immediately.

The client will receive an emailed invite that looks like this. To accept the client portal invitation, the client opens the email and clicks the "Access Client Portal" button. If the button doesn't work, copy and paste the URL link at the bottom of the email into your browser.

When the client clicks on that link, they are taken to the White Labeled Portal Setup webpage, where they enter their first and last name, set a password, and click on "Complete Setup" to access the client portal. The client may have to log in to the portal after completing the set up step.

If a client already has an account to access the portal, they are presented with a sign in window instead.

View Portal Preview

To review the client portal, click on the "View Portal Preview" button to open a new browser window that contains the client-view site, without requiring a portal user login.

The preview window displays a webpage of what the client will see when accessing the portal. The navigational tabs at he top are full functioning to review each section of the portal features. The portal Home page displays: - White label information at the top of the page. - Business information (Business name, address, phone, website, category) - Trade Area drive time map with primary, secondary and fringe polygons - A list of “Business Tools” that the client has been granted access to: - Media Library - Reviews - Tasks - Keyword Performance - Competitors - Reports Simply close the window once you’ve finished reviewing the preview.

Alert! If the preview opens the login screen instead, the bypass permission may be missing.

Navigate and Update Client Portal Settings

Portal Settings control what clients see in the portal. To access the Client Portal Settings, click on the "Settings" button (gear icon) in the Client Resources section.

The Client Portal Settings window will open that provides: - A "Preview Portal" button. - A "Save Changes" button. - The "Portal Access URL" (Copy the invite link to send manually) - And two additional tab sections: - A "Features" tab - And a "Access & Users" tab (covered earlier in this guide) Click on the "Features" tab (gear icon) to access the available sections displayed to the client in the portal.

The "Features" section displays the sections available for display in the portal. Each feature has a toggle to enable or disable that portal section. If a toggle is off, that section is hidden in the client portal. If a toggle is on, that section is displayed in the portal. You may need to scroll down to see all the portal features. Some features include additional toggles and options to change default view settings in the portal, which we will cover next as we go through each feature. It is important to note that each section allows you the ability to "Customize Menu Title" if you do not want to use the default menu title for your client.

Media Library Feature

The "Media Library" feature grants clients access to view their business photos and assets. It also provides them the ability to upload photos. (Note: If no media appears, the Uploads folder may be empty or missing.)

When clients click on the "Media Library" tab, they will see the media grid for the business> The grid contains thumbnails of all the images and videos and each displays the image file name and the upload date. In addition, the client will have an "Upload Photos" button that will allow them to upload additional media files.

Reviews and Requests Feature

The "Reviews and Requests" feature provides recent feedback from the client's Google Business Profile. It let clients view their review summaries. You can also allow them access the to the review tool and send review requests. (If branding is incorrect, check organization branding settings.)

Here is what clients will see when "Reviews and Requests" and "allow Review Requests" are both enabled: - A list of GBP Customer Review summaries with ratings. - Average rating ??? - Total reviews ??? - The "Request Review" tool button. - Private Feedback (negative feedback collected from your review tool)

Tasks Feature

The "Tasks" feature contains many toggles for you to customize client task activities and which tasks are displayed to the client in the portal. You can choose to: - Allow or not allow clients to view assistant task activity. - Allow or not allow client too perform suggested task actions such as: - Allow Task Approval. - Allow Task Modification. - Allow Task Rejection. - Allows you to chose which task types you want the client to see in the portal: - Local Post - GBP Image Uploads - Review Responses - GBP Services (Add) - GBP Services (Update) - GBP Services (Remove Bloat) - GBP Description - GBP Additional Categories - Listing Lock - Region Targets - Location Pages Batch Review - Blog Review - Review Feedback - (Use the "Show All" or "Hide All" buttons to quickly enable/disable all types)

When "Tasks" are enabled here is an example of what clients see: - A list of Assistant tasks, sorted by "To Review" and "Completed" status. Each task will show: - A description of the task. - The Status of task: New or ??? - How long ago the task was added. - Instruction or info on the task. - Content associated with task: post info, image, suggested response, rating, topic, etc. - Action Buttons (if enabled), to Approve, Modify, or Reject. the tasks.

Keyword Performance Feature

The "Keyword Performance" feature lets you choose which factors you want to display to your client. - When enabled it shows keyword performance in a simplified format for clients. - Enable or disable which Keyword performance data you want the client to see: Local, Organic, and Map Tabs. - Select the trade area view to show in the portal: Primary, or Primary and Secondary, or All trade areas. - Select the default map view for the client: Google Maps or Snack Pack. - Settings that affect this page are: - Trade Area View - Default Map Type - Show Map Tabs - (Note: If these are not set, the portal may display confusing results)

When "Keyword Performance" is enabled, clients will see: - A Keyword list of top searches that found your clients business. - The date range of performance displayed. - A toggle to switch between Google maps and Snack Pack. - Each keyword listing with contain - A trade area heat map. - The date of the last scan. - Average ranking. - Visibility percentage. - History (when expanded) of rank, visibility, heat map for the past 5 weeks.

Competitor Analysis Feature

The "Competitor Analysis" feature provides your client a simple overview of nearby competitors in the portal.

When the "Competitor Analysis" feature is enabled, the clients see: - A list of all competitors within the trade area with competitor name, main category, address, local ranking, organic ranking and star rating. - The client can can expand each competitor in the list to show additional information: phone number, website, visibility, number of reviews. It also displays two charts: - A Market Visibility Chart for the last 90 days with visibility score and average rank. - And a Review Chart for the last 90 days with review count and review rating.

Reports Feature

The "Reports" feature allows clients to view and download recent performance reports in the portal. You can also choose to allow them see a history of reports. If reports are missing, ensure schedules or manual reports have been generated.

If the "Reports" feature is enabled, clients will see a list of reports. Each report will display the title of report and the date of the report. The client will have access to three action buttons under each report that will allow them to: - View a HTML copy of the report (click on the eyeball icon). - View an image copy of report (click on the photo icon) - View and download a PDF of report in PDF viewer (click on pdf document icon)

Save Changes

Don't forget to click "Save Changes" when done editing the client portal settings. Or click "x" to exit without saving changes.
