Creating a price list with ConNote from A - Z!

Open the "Module" menu

Select the Price Lists option from the ConNote module Utilities menu.

Click "New" to begin creating a new price list.

Name your price list. We're calling this one "DEFAULT". Price list names are capitalised automatically by the system.

Clicking the "From" list, we can see that there are no options to select. This is because there are no destinations associated with this price list yet.

To associate a destination with your price list, click the "Add" button next to the "From" list.

Any destinations you have previously recorded will be listed here. As this is a fresh installation, there are no destinations on file. We will need to add them here.

Click "Add New Destination" to create a destination record.

The system will warn you that you should not usually be using this function. As we are setting up destinations for the first time, we can safely ignore this warning. Click "Yes" to dismiss the window.

Click "Add" to create a new destination record.

Specify the destination name in the prompt that is displayed, then click "OK" or press "Enter".

You can add as many destinations as you need at this point. Once you have finished, click "OK" to accept the data entry.

Any destinations you have created will now be available for selection in the list. Choose the destination to add as a "From" destination in this price list, then click "OK".

Next we must select the rate type. As with destinations, there are none set up yet, so we will need to create them. Click the "Add" button next to the rate types list.

Again, just like destinations, there are no rate types defined in the system. Click "Add New Rate".

Enter a rate type name. This should be a name which categorizes your freight, for example refrigerated freight would be charged at a higher rate per kilo than ordinary freight. Once you have provided a name, press [[Enter]] or click "OK".

A prompt will appear asking if this rate allows pickups and deliveries. For example, if your business only ships between depots, not directly to the customer, you should click "No".

The third piece of information we need to create a rate for our price list is a "To" destination. Click the "Add" button below the list of rates.

If you added all your destinations at step 12, you can simply select the "To" destination from the list below. Otherwise, follow steps 8 - 13 to create a new destination for the "To".

The "Rate" column group records the per kilogram dollar amount to charge for this route. To start with, we'll enter 0.5 - i.e. $0.50/kg. The "Charge" column group records fixed values that can be applied to a consignment. - **Basic charge:** a charge which is included in every consignment. - **Consignment Minimum:** consignments will always cost at least this much. - **Smalls:** a flat charge which overrides freight calculations and other charges. Used for consignments of small items. - **Cubic:** this is a factor which converts freight volume into an **equivalent** weight value. For example, a cubic metre of polystyrene will be very light - so charging by dead weight may cause you to run at a loss! A value of 333 is common, and would mean that the cubic metre of polystyrene would priced as if it were 333kg. - **GL Code:** this is used for accounting integrations.

Once you have filled in your rates & charges, save your price list. This will also save a "snapshot" of the price list, preserving historical pricing data for accurate record keeping.

To modify your price list, click "Edit".

You may want to charge freight at different rates depending on the amount being shipped. Many businesses will offer discounts for higher weights/volumes. To set this up for your price list, click "Edit Breakpoints".

In the dialog, enter the weight ranges for your price list. Note that you only need to provide the "TO" values - the system prefills the "FROM" based on the previous "TO". You can specify up to seven weight breakpoints. These must be in order of increasing weight.

Click "OK" to apply your changes to the price list.

The system will prompt you to review your rates. Click "OK" to dismiss the prompt.

The "Rate" column group now has a column for each of your weight breakpoints. You can specify different $/kg amounts according to your business rules.

Save your changes to your price list.

You can also charge freight at fixed prices using *ConNote*'s Price Per Item feature (PPI). To set this up, select the PPI Names option from the Utilities menu for the ConNote module as shown.

The PPI Names window records the names you designate for Price Per Item charges, such as "Shipping Container", "Pallet", or "Trailer Hire". These are stored independently of pricing information so you can re-use them in multiple price lists. Click "Edit" to create or modify PPI Names.

Click "Add" to create a new Price Per Item name.

Enter the name in the line provided.

Click "Save".

Re-open the price list window.

Click "Edit" to modify your price list.

Click "Setup Price Per Item"

Currently, there are no Price Per Item names linked to this price list. Click "Add" to link a PPI name.

Choose the PPI name you wish to link from the list, then click "OK".

Once you have added all the PPI names you want to use in this price list, click "OK".

A new column will have been added for each name you added. Enter the pricing information for each rate's PPI (if applicable) - leaving the PPI field blank will mean that PPI is not available for that rate.

Save your changes once again.

Your price list is complete! Click "Close"

If you have contacts set up, you can optionally associate a price list with a customer. Open the "Contacts" window either from the toolbar (shown) or from the menu (Module -> Contacts). The associated price list can be set on the "Financial" tab.

Click "Edit".

Select the price list you wish to associate with this customer from the list.

Once you have completed your changes, click "Save". Now any consignments charged to this customer will use the price list you created to determine the rates automatically!
