Creating a subcontract

If you do not carry out your activity at the client's premises using your own resources and instead subcontract it or are accompanied by another company, you can create a subcontracting arrangement dependent on your coordination.

Access "Create subcontracting" in the header of your coordination or subcontracting

In step 1, fill in the general information. It is important that you fill in at least the required fields.

When you need to indicate the external subcontracting company, click on "Create external company" and enter the NIF, CIF, etc. in the Identification field. If the external company already exists in the system, the stored data will be loaded; otherwise you will need to complete the fields as a new company.

In step 2, indicate who the external subcontracting contact is. Remember this will be the contact who receives any applicable document requests. If you want to create a generic responsible person for that external company without assigning to specific employees, we recommend: - Identification: enter the company's CIF, NIF. - Email: provide the CAE manager's email address for that external company. - First name: company name of the external company. - Surname 1: always a hyphen '-'. - Telephone: preferably provide the telephone number of the CAE manager for that external company. - Always tick the ""Predefine as CAE responsible"" checkbox.

In step 3, if you do not manage your subcontractor's documentation or resources yourself, skip this step and let the subcontractor manage its own resources. At step 4, if you do not manage your subcontractor's documentation or resources yourself, skip this step and let the subcontractor manage their resources. At step 5, if you do not manage your subcontractor’s documentation or resources yourself, leave the CAE job roles created, if applicable, so your subcontractor only has to assign them to each employee. In step 6, if you do not manage your subcontractor’s documentation or resources yourself, create the special tasks/risks, if applicable, so that your subcontractor only needs to assign them to each employee. Once you have finished adding and managing resources, you can press the "Finish" button.

The system notifies you whether you have completed all the steps and carried out the necessary procedures because there are likely to be mandatory steps, such as the requirement for employees to exist or to be obligatorily assigned to CAE job positions. If you have done everything correctly, your subcontracting will change to the status "In progress". Otherwise, you will see that the subcontracting remains in the status "Pending data".
