Creating the Labor Distribution EPAF

To create a new EPAF click "New EPAF"

This opens a blank EPAF. To begin, find the employee through one of two methods: 1. Enter the employee's LIN in the "ID" field, or 2. Use the search feature by entering the employee's first and last name, and then select the correct employee from your results. This will generate the employee's ID in the highlighted field.

Next, enter the date that the labor distribution will go into effect in the "Query Date" field.

Click the dropdown menu labeled "Approval Category" and select "Change in labor distribution, LABOR"

Click "Go." This will open a new page titled "Details."

Some employees have more than one job. All active jobs for the employee will show on this page. Select the job for which you are changing labor distribution.

Click "Go." This will open the labor distribution options.

Entering the New Labor Distribution Index(es)

You will see the current labor distribution. To make changes scroll down to the "New" section. - If you are splitting the distribution across multiple indexes click the "add row" button. - If you are changing 100 percent of the labor distribution from one index to another move to step 13.

In the new row enter "P" in the COA field. This is the code for Lehigh's chart of accounts. Repeat this step for each new row if you need more than two rows.

- If you are changing 100 percent of the labor distribution from one index to another, overwrite the current index in the Index field. - If you are dividing the labor distribution among multiple indexes, enter new indexes into the Index fields and add rows as needed.

Once you have entered the necessary indexes, click "Default from Index" which will result in the Fund, Organization, and Program fields autofilling.

The "Account" field does not autofill. Enter the appropriate account for each index.

Next, distribute the salary across your indexes using the "Percent" field. - Enter the appropriate percentage of total pay for each index. - The total of all percentages must add up to 100 exactly or you will get an error message in the top right corner of your screen.

Create the Approval Routing Queue

Once you have accurately entered the information to create the new labor distribution, you will need to complete the approval routing queue. For non-research distributions, two approval levels are required: Authorized Approver and Payroll Office: 1. To find your Authorized Approver's user name, click into the User Name box and select them from the drop down list. 2. Then click into the User Name box for Payroll Office and "AJT207 - Temos, Amy J." In some cases, additional approval levels are required. To add these levels, click "Add Row," and select the appropriate approval level, user name, and required action.
