Create a One-Time Pay Form for Students
This guide provides step-by-step instructions on how to create a one-time pay form for students.

Supervisor Instructions: Submitting the Form

Navigate to [you.clarku.edu](https://you.clarku.edu/uPortal/f/welcome/normal/render.uP)

Click "Hirezon/Interview Exchange Login"

Click the "Onboarding/Contracts" module icon.

You will land in the "My Packet" Dashboard.

Click "+ Start New Packet"

Name the packet "Student First Name and Last Name - OTP for XYZ"

Enter the student's first and last name and email address.

Select your department and Org number.

Click "OTP" in the template drop down.
Alert! Do not click any other packet! The New Hire packets must only be sent by Office of Student Employment staff.

Click "Create"

Once the packet has been created, click the start date field and select today's date.
Alert! Do NOT fill out the form yet. If you do, you will not be able to save what you wrote in the form. You must assign yourself to the task first!

Click "Unassigned"

Click the "Assignee Name" field.

Type your name!

Click on your name and email.

Click "Save" to assign the task to yourself.

Click "Publish" on the bottom left.

Click "[Complete Task]"

The student's first and last names should auto-fill based on what you included during form creation.

Select "Yes" or "No" to answer whether or not your student worker has worked on campus before.
Tip! We can help you determine who has not worked on campus before and who needs to complete onboarding.
Alert! A student cannot work on campus until onboarding has been completed and they approved to work via the Office of Student Employment!

Concisely describe the services the student employee is conducting.

Select "Yes" or "No" regarding the union status of this position. If you are unsure, please be sure to reach out to us at oncampusemployment@clarku.edu.

Enter the date the work began.

Enter the date the work ended.

Enter the hourly rate for this position. It must be at least $15 an hour!

Enter the number of hours the student worked.

After completing the hourly rate and hours worked fields, this field will auto-populate the amount owed.

Enter the Fund you are using to pay this position.

The org will auto-populate based on the department you selected during form creation.

Please certify the information above.

Type your name as a signature authorizing the form.

The date will auto-fill with today's today.

Click "Save & Continue"

Give the form one last look and click "Continue"

By clicking "Save & Submit" the form will now be sent to your student for their signature.
The packet will now be sent to the student for their signature. If the student does not agree with that is written in the form, they are instructed to contact you to discuss.

You can return to your Dashboard to check the status of the form.

The form will be at a 33% completion once you have sent the form to the student.
Once the student has completed the form, the % complete will move to 66%!
Supervisor Instructions: Reminding a Student to Complete their Form

If your student has not completed their form after a few days, you can remind them via Interview Exchange.

Click on the pencil icon to reopen the form.

Scroll to the bottom right and select "Remind" next to the student task.

You can be copied on the reminder email (for tracking) or select no to not receive a copy.

You will see a yellow notification telling you a reminder email has been sent to the employee.
Tip! You can only send one reminder every 24 hours via Interview Exchange!
What the Student Sees!

Students will receive an email titled "Your Onboarding Process at - Clark University \[One-Time Pay Form for Students\]"

They will see their required equired tasks (One-Time Pay Form - Student) and can click the "onboarding system" link to be brought to the form.

They will log in with their Interview Exchange account information.

In Interview Exchange, they will be able to see the status of their past and current One-Time Pay Forms.

They will click on the OTPs that have a status of pending in order to sign.

These instructions will be included with all OTP forms.

They will attest to the hours limit and agree to the information you provided.

They will enter their name as their signature to attest to the information you included.

They will enter their C#.

The student will click "Save & Submit" to complete their portion of the form.

On the student side, it will remain as "Pending" until the Office of Student Employment has processed it for payment.

On the Supervisor side, you will see the form is now 66% completed following the student's signature.
When a Form is Completed:

Once the form has moved to your completed section, you will know the payment has been processed by OSE.

You can click on the magnifying glass to see more information about when it was completed by the student or OSE.

Each task will have a time stamp for when it was completed.

The student can also check on the status on their end too.
