Create a shared booking page with Microsoft Bookings

Do you regularly have to schedule meetings with students and multiple teachers? You can create a shared booking page. Students can book a meeting with one of your colleagues.

Create the shared booking page

Open Microsoft Booking. If you haven't downloaded it. You can find it under Apps.

When you open Microsoft Bookings, you can either create a Personal Booking page or a Shared Booking Page.

Go to the Shared booking pages and click 'Create booking page'.

Click 'Create from scratch'.

Give your shared booking page a name.

You can set the office hours when people are allowed to book a meeting

Click 'Next'

Invite UM colleagues that will part of the shared booking page.

You can change the role for every member.

It is preferred to have 1 or 2 Administrators. The other colleagues can become either a Team member or Scheduler.

Add 1 or more services. A service is a type of meeting that can be booked in the shared agenda.

Add the name of the service

Add the service duration

Set the days and times when this service can be booked

By default, a Teams meeting link is created for every meeting.

Save this service.

Now choose who can book an appointment at your page. Currently it is not yet possible to make the page available to externals, but this might change soon.

Click 'Create'

Your shared booking page is now ready. You can share the link via the following URL.

Change shared booking page settings

When you open your shared booking page again, you will now see the agenda with bookings.

Go to Services and 'Edit Services' to edit your services.

Here you can edit settings, such as a buffer time.

This is also where you can change the hours per service.

You can also add different Team members to different services.

Turn this toggle off, if you do not want students to see the names of employees.

You can also change the booking form fields per service. For example, if you want to receive specific information beforehand.

Click Save.

If you go to Staff, you can view all Team members and change their roles.

You can add a new staff member here. Click 'Add new staff'.

It is also possible to make a New reservation in the agenda without a booking form.

Booking page from a user perspective

When someone clicks on the shared booking link URL, they first have to log in with their UM email.

Now the user can see 1 or more services. The user can select a service and pick the date and time.

If possible, the student can select a specific staff member.
