Dashboard Assist: Sign In / Sign Out Guests, Providers, Tours & Residents via the Dashboard

Accushield’s Dashboard Assist provides you with the ability to sign any guest or provide in / out from the comfort of your computer. Scenarios where Dashboard Assist may be helpful to you include: + Signing in a group of volunteers / guests. + Pre-scheduling sign-ins for upcoming visitors + Signing in / out guests who are too busy or forget to use the Kiosk

Click "Add" from the homepage

If you're wanting to add a Visit, click "Visit" and choose the type of visitor you're wanting to add a visit for.

Guest / Volunteer Sign-In

If adding a visit from a Family / Friend or Volunteer, you'll fill out the following fields: First, type in either their phone number or name in the "Phone/Name" field. Click "Search" once done.

If we're able to find that number or name in our database, we will present a list of profiles that match. Click the radio button next to the name of the correct person.

If we're unable to find the correct profile, that may mean that we don't have that person in our database. You can create an account for them by clicking "Create Profile" and filling in the needed details.

Our system will assume the visit is "in progress" - but you can uncheck that box to change the day/time. This field can be adjusted for pre-scheduled visits that have yet to occur - just set the sign-in time to in the future and leave the Sign-Out Time blank.

If you have multiple buildings created in the Dashboard, you may want to adjust the Building to represent the correct one the visitor is going to.

Choose their Reason for Visit.

If the reason for visit is to visit a resident - choose the resident(s) that the person is visiting. Multiple residents can be chosen.

If it's a group of visitors signing in, you will want to check the This Is A Group box and fill in the details.

Click "Save" once done.

There are two options for saving this visit - **Option 1 (Finalize Automatically):** This option will save the visit automatically for the visitor log report. No further action is needed from the guest until they sign-out to leave. **Option 2 (Text QR Code to Complete Sign-In):** This option will trigger a text message to send to the guest that alerts them of their upcoming visit and provides a qr code for them to scan upon entering the community. The sign-in will NOT be marked as complete until the guest scans their QR Code at the QR Code Scanner. This option allows for the user to still receive an identification badge and have security photos taken of them at the kiosk. **If the visit is pre-scheduled and set for a later date / time - Option 2 will be the defaulted option.**

When option 2 is chosen, the visit gets saved in the Pre Scheduled Log. They will stay on this log until they scan their qr code to complete their sign-in. Also from this log, you can manually sign them in or cancel their visit.

Provider Sign-In

If you're signing in a Provider, there will be a few unique fields to fill-in.

Including adding their Company Name and the type of Service they're providing today.

If the person is from a staffing agency and is being contracted to work an open shift - choose the "Fill a Shift" option for their Reason for Visiting.

Fill in the Shift Duration.

Click "Save" once done.

Tour Sign-In

If you're signing in a Tour, there will be a few unique fields to fill-in.

Add in the "Phone/Name" field and then hit the Seach option.

You may need to click "Create Profile" so that the prospect's profile gets saved into our system. Fill in the prospect profile with details, including any contacts you may be aware of.

Add in the correct number for the "Number of Additional People" field. This is the number of people that attended the tour. Hit Save once you're done.

Visitor Sign-Out

If you need to sign-out a guest, provider or tour - you can go to the Visit Log under the Reports tab. Check the box next to the person you need to sign-out and choose "Sign-Out"

You can also log out guests from the homepage by clicking the sign-out icon within the "Entry Management" table.

Resident Sign-Out / Sign-In

When a resident or groups of residents leave the community, you can input that by clicking "Add" on the homepage and choose "Resident Sign-Out"

Check the box next to the name of every resident leaving.

If they plan on leaving at a later time, you can uncheck the "Sign-out in progress" option and adjust the timeframe.

Depending on how your community is configured, you may be required to input additional information about who they're leaving with, where they're going and how long they'll be expected to be gone. If not required, those questions may appear as optional to fill out.

Click "Save" once done.

To sign residents back in, you can check the box next to their name on the Resident Sign Out Log and choose "Sign In"

You can also sign them in directly from the homepage by clicking the "Sign In" icon on the "Resident Signed-Out" table.
