This guide provides step-by-step instructions on how to submit an employee accrual adjustment - Other.

Navigation

Navigate to **UCPath**: <https://ucpath.universityofcalifornia.edu/home>

On the top menu bar, select the **House Icon**, or in the Workcenter table select the **PeopleSoft Homepage link.**

Select the House Icon in the top navigation bar or the PeopleSoft Homepage link in the Workcenters table after the two navgiation menus.

Click on the **Absence Administration** tile.

Click the **Manage Accruals/Balances** folder.

Click the **Manage Accrual** page.

You can **collapse** the left side Navigation Panel for more visual room by clicking the black icon.

Search & Select

Scroll to the right of the page, and click the **Add a New Value** button.

To Add a New Value, enter the Set ID, Department, and Employee Classification of the employee you need to adjust accruals for. Type **BKCMP** in the **Set ID** field, or click the magnifying glass lookup icon to select BKCMP from the menu.

Type in the **Department** code, or select from the magnifying glass lookup menu.

Enter the **Employee Classification** code, or select from the magnifying glass lookup menu.

Click **Add**.

Enter the **Empl ID** for the employee you need to adjust accruals for.

The **Rcd # (empl record)** will default to 0. Type in the correct empl record, or select from the magnifying glass lookup menu.

**Alert!** Ensure you have selected the correct **Empl Record**!

Entering Other Details

In our example, an employee needs to have their FMLA balance adjusted. They were out on leave for part of January, but their FMLA was not applied to 3 days. Bruce needs to have 24 hours decremented from their FMLA balance for 1/25/24 - 1/27/24. So we will submit an **Other** transaction. **Other:** - can be entered for **multiple days** in a single row - **negative hours** will **decrement** hours in the associated accrual bank

**Tip**! Review the [Accrual Type Matrix](https://drive.google.com/file/d/1OdiQXcmA3WWNQJh9J1AZ9w8nXAMUcqvY/view)to review the 5 accrual types, whether you enter them day-by-day or multiple days in one row, and whether positive hours decrement or increment the associated accrual bank.

Next, we add our **Begin and End Dates**. This will unlock the Adjustment/Payout/Take dropdown menu. Because Others can be entered for multiple days in one row, we will add the **Begin Date** of **01/25/2024** and an **End Date** of **01/27/2024.**

Next, we will select the accrual type **Other** from the **Adjustment/Payout/Take** dropdown menu.

Notice, when we select **Other** the Earn Code field disappears and instead the **Absence Element** field opens up. Enter in the correct **Absence Element** or select from the magnifying glass lookup icon.

In our example, we will select **UCAE FMAL (Family Medical Leave Act)** to decrement their FMLA balance. Once this is selected, the FMLA/CFRA/PDLL Usage? field will update accordingly.

Next, let's enter in the total hours that need to be decremented from the employees FMLA balance. Remember, for Other transactions UCPath is programmed to **decrement** hours from their associated accrual bank when **negative hours** are entered. In our example, this employee needs 24 hours decremented from their FMLA balance, so we will enter **(-)24.**

Since this is an Other accrual type the FMLA/CFRA/PDLL Usage? field has updated to **A (FMLA).** Confirm this is the appropriate code. Click the magnifying glass lookup icon to confirm.

Enter any comments into the **Comments** field that will help your approver take action and support post-processing audits.

If you have another accrual adjustment for this employee, or for an employee in the same department and same employee classification, click the **Plus** button to add a new row.

Submit

Once you have entered all the accrual adjustments for this employee, or for employees in the same department and empl class, click the **Submit** button.

Once the transaction has successfully saved, the **Approval Workflow Engine (AWE) Window** will display your Transaction ID, Effective Date, and local approval status.
