Event Check-in / Using a Scanner

This guide provides essential steps for efficiently checking in attendees at events using QR code scanning, ensuring a smooth entry process. It covers setup requirements, camera permissions, and best practices for managing attendance, including handling no-shows. Set-Up

During the setup of an event page, navigate to the Overview tab and click the checkbox labeled "***Use QR Codes For Ticket Entry***". Note: This can be checked at a later time, but it must be checked before the day of the event.

On the mobile device you plan to use for scanning QR codes, go to <https://anyregistration.com/scan> Click "Request Camera Permissions" to allow the site to access your camera. This only has to be done once while on the same device.

On Day-of-Event

Using your mobile device, navigate to the scanner > <https://anyregistration.com/scan> Follow these steps: 1. Set the camera view (camera facing back, camera facing front) 2. Welcome attendees; ask for their confirmation email or registration 3. Scan the QR code on their confirmation email/registration 4. Verify the event attendee's name and ticket option (it displays under the scanner button after the QR code has been scanned) 5. Click 'Stop Scanning' when finished

After checking attendees in using the scanner, go to the event's dashboard and click "***Attendance/No-Shows***" in the People tile

On the attendance page, scanned attendees will be listed as checked in. Select 'No Show' on the registrants who did not show up at the event.

Things to Know

Best Practices: 1. Refresh the scanner periodically as you're checking in attendees \~ this will quicken the check-in status. 2. The status of 'checked-in' is also displayed on the Attendees tab of the event record in the CBMC **CRM database**, which populates **Power BI reports,** as well.

Alerts: 1. Only eventgoers who have registered will receive a confirmation email containing a QR code to scan. 2. For guests without a QR code, use the 'Add Attendees' button for expedited registration. For table guests or golf team members, use the 'Add Person to Group' button for free sign-in. If a table guest is already added by the host, their name will be in the system for check-in. 3. If you scan a QR code ***after the event has started***, the scanner will display 'already checked in' for the attendee.
