Click "STAFF"

Click "District Forms"

Click "Facilities Use Request"

Click this image.

Click "SUBMIT AN EVENT"

Event Name - enter the name of event (i.e., Band Concert, PTA Meeting, etc.) This is what will be published on the calendar.

Summary - brief description of the event

Add a Full Description - (not required) if you need a longer description

Click here to add Full Description, if needed

Category - choose "Internal GPISD FUR"

Location: click on the drop-down arrow to see locations or you can begin typing the campus code/name

Click your desired location

OR click "LOCATION SEARCH" to see a full list of locations as an alternative to the drop-down arrow

Click the "Start typing Location Name to search Location Path." field. Type in the location you are searching and "enter"

Click the location you want to schedule

Click "save SAVE"

Click on drop -down to enter Location Setup Notes

Enter setup notes, if any, here

Enter the number of attendees

Click the date of your event

Choose the start time of your event (you will add setup & breakdown time separately)

Enter your event end time by either dragging the field or double-clicking to enter manually

Manual entry example - click OK

Click "Multiple-Day Options" for recurring events

Click here for Consecutive Dates

Choose your Consecutive Dates options

Your Consecutive Dates will show here \*\*Please note, if the day you select has a conflict, it will show in this area and you will have the option to remove that day

Click here for Non-Consecutive Dates

Click all days on the calendar that your event should be scheduled for

Your Non-Consecutive Dates will show here \*\*Please note, if the day you select has a conflict, it will show in this area and you will have the option to remove that day

Click "save SAVE"

Click here to choose whether your event is Public or Private (internal) \*\*In order for events to show up on the calenar, they must be marked as "Public". Private events will not be shown on calendar.

Make your selection.

Add how much time you need for setup

Add how much time you need for breakdown

The setup/breakdown time will not be published on the calendar, only the actual event time

Click the "Full Name \*" field to enter the name of the person submitting the request

Click the "Phone \*" field to enter the phone number of person submitting request

Click the "Email \*" field to enter the email of person submitting the request

Click the "Additional Event and/or Setup Instructions - enter any information that makes setup easier

Click here to confirm whether you need after-hours technology support

Add organization/group having the event (i.e., Band, PTA, English Dept)

Click the "Event Day Contact Name" to enter who the contact will be on the day of event

Click the "Event Day Contact Cell Phone #" field.

Confirm your setup/breakdown times have been entered

Confirm whether your event is outside of normal school hours

The following questions are specific to the Ag Facility If you answer "Yes", complete the remaining questions

You should have received permission from your campus administrator for events at the Ag Facility since you will need an "Admin On Duty"

Click "Yes" to confirm that you will add "Admin on Duty" to the Tasks section

If you answer "No", complete the remaining questions with "N/A"

Tasks - this represents services you need to support your event (i.e., Custodial, HVAC, Security, Technology) IF AFTER HOURS Click Add A Task

Choose task/service needed from drop-down

Enter description of what you need for that service

If you have more than one Task, click on “Save and Add”

On you final Task, click on “Save”

You can upload documents that pertain to your event and/or any pictures that help in setup, such as a picture of how you want the room set up If your request is for the Ag Facility and you have written approval, i.e., an email, it can be uploaded here

When all your information is entered, click on the Submit Button You will receive an email confirming your submission\ \ This does not guarantee your request. It must go through the approval process before you get confirmation that your event is approved and on the calendar
