Open up the Toolbox Talks module in VISION.

Click the Toolbox Talk you want to Schedule.

Click 'Schedule Toolbox Talk'.

If you want the attendance to be recorded in the employee training record in the Training Matrix, ensure the 'Record in Training Matrix' slider is set to a Green Tick.

If the Toolkbox Talk is one that needs to be repeated on a regular basis and for it to be tracked in the Training Matrix, make sure you set the renewal period.

VISION can send automatic email reminders to Presenters and Attendees. Use the sliders to turn the features On or Off.

The Scheduled By user defaults to the logged in user. To change, click and amend.

Select the Date and Time of the Toolbox Talk using the date picker.

Enter the Location of the Toolbox Talk.

You can assign your Toolbox Talk a colour, helpful if you want an additional visual for categorising talks.

Enter a Contract Number, if applicable.

Select the Presenter of the Toolbox Talk using the picker, or free type their name and email address. The Presenter Email will be defaulted if you select an existing Employee from the picker.

Click 'Attendees' to add the required attendees.

Click 'Add' when you are happy with your Schedule details.

Your scheduled talk will be saved. You can Edit and Delete a scheduled talk by clicking these icons.

Clicking 'Add New' will allow you to add another scheduled talk.

The new schedule automatically copies all the information from the previous schedule. Update the required fields and click 'Add'.

The system stops you from adding identical scheduled Toolbox Talks, so ensure you update the details and click 'Add' again.

Click 'Save' once you have finished scheduling your Toolbox Talk.

Your scheduled Toolbox Talks will now be be visible on the Scheduled tab.
