How to Access & Use the Soft-Closed POs Dashboard

This guide provides step-by-step instructions for accessing and utilizing the Soft-Closed POs Dashboard in BruinBuy Plus, including exporting a detailed report of soft-closed POs.

From the *Home Shopping Dashboard*, select the **Soft-Closed POs** tab.

The *Soft-Closed POs Dashboard* displays three high- level filtered views from the *Soft-Closed POs* report: 1. Soft-Closed POs by Department 2. Soft-Closed POs by Owner 3. Soft-Closed POs List View **NOTE**: Dashboard widgets display a limited number of results (i.e., the top 10); however, the **Total Purchase Orders** count at the top of each widget reflects the total number of soft-closed POs to which you have access. To alter the number of results displayed in the List View, refer to **Step 7** of this guide.

**REMINDER**: BruinBuy *Plus* access is based upon DACSS permissions. The dashboard will only show the soft-closed POs associated with the departments to which you have been provisioned DACSS access. Utilize Dynamic Filtering and Navigation

To access a detailed report of soft-closed POs for a listed department, click the **hyperlinked department name** from the *Soft-Closed POs by Dept* widget.

To access a detailed report of soft-closed POs for a listed owner, select the hyperlinked **PO Owner.**

To access an individual PO from the *Soft-Closed POs List View* widget, select the hyperlinked **PO Number**.

To access additional POs from the *Soft-Closed POs List View*, utilize the page navigation at the bottom of the widget.

Access the Soft-Closed POs Report

To view the *Soft-Closed POs* report in detail, select the **Total Purchase Orders** hyperlink from any of the widgets.

A report of soft-closed POs will display with relevant pre-set filters and columns. **NOTE:** Filters and columns can be added or removed by utilizing the **Add Filter** button and **Configure Columns (gear)** icon.

**IMPORTANT**: A PO’s *AP Status* moves from Open to Soft Closed after 10 calendar days. During this time, the PO can be reopened by UCLA Campus Purchasing. If a soft-closed PO has one or more invoices in [Payable status](https://purchasing.ucla.edu/electronic-invoicing/invoice-and-pay-statuses), the 10-day countdown will not start until all invoices have been paid or canceled.

Export the Soft-Closed POs Report as an Excel File

To export the Soft-Closed POs report as an Excel file, select **Export All**.

Enter a **Title** for the export, if desired, then select the **Submit** button.

Click the **Manage Search Exports** hyperlink.

The *Manage Exports* page will display. Select the **hyperlinked title** for your report.
