How to Archive a Course on the Express Provider Portal & What To Do if the Portal Won't let you Archive a Course

This will walk you through the process to archive a course. The archive function works with courses in all stages on the Express Provider Portal. As you walk through the process, if the course throws an error message, these directions will also provide guidance on how to resolve the error message.

Click on the course you wish to archive. In this example, I would like to archive C-9815.

Scroll to the bottom of the course, then click "Archive this Course"

Note! The archiving function will remove the course from the active status and our active directory, but it will also be permanently added to your archive stage, which means you will not be able to renew it or bring it back onto the directory. You will still be able to view the course data, but it will no longer be editable or renewable. **If you plan on bringing the course back into Active status at any point, you should instead click "Update", make a small edit, then click "save & submit later" (without clicking "Submit for Approval")**. The course will automatically shift back to "draft" mode, and you can leave it their indefinitely until you want to bring it back onto the directory.

Read through the confirmation, then click "Yes".

Important! If the course you are attempting to archive is an old course that was not part of the original data merge to our old system, after clicking "Yes", an error message might pop-up. **The course most likely has missing "required fields" and cannot flip stages.** To resolve this issue, complete the following steps: 1. click "edit or renew" 2. **Fill-in any missing fields that are required**. 1. If the "Course Topic" field is grayed out, select a different "Training Category" above the course topic field, then you should be able to select a course topic 2. Fill-in the fields to the best of your ability based on how the course used to be taught, it doesn't have to be 100% correct. 3. Once all required fields are filled in, click "Save & Submit Later" 4. The course will now be in DRAFT mode. 5. At this point, you can now click "Archive this Course"

Click back to the homepage, by clicking "Home" at the top of the course.

Scroll down to the bottom of the homepage to the archive section. You should be able to see your newly archived course on the list. If you don't see it, you can click "view all" to see a full list of your courses.
