**Before You Begin** This guide builds upon the steps outlined in [**How to Initiate a Direct Pay Form**](https://scribehow.com/viewer/How_to_Initiate_a_Check_Request_via_the_Direct_Pay_Form__F814I1eKQU6Vc4LOol-png) and provides instructions for completing the **sections specific to Visiting Scholars / Graduate Researchers or Non-Matriculated Students**. Before proceeding, initiate the Direct Pay form and complete the actions common to all requests.

Select the **radio button** for the type of payee. If you select the **I don't know** option, follow the contact instructions in the pop-message.

Enter the **pre-approval code** provided by the approving central office.

**IMPORTANT**: To obtain a **pre-approval code** from the central office approving the payment request, contact: - **Non-Matriculated Student payments**: Tama Hasson (thasson@college.ucla.edu); David Gray (dgray@college.ucla.edu) - **Visiting Graduate Researcher payments:** askgrad@grad.ucla.edu - **Visiting Scholar payments**: Yadira Marquez (ymarquez@conet.ucla.edu)

Select the **radio button** for the type of payment, as applicable. **NOTE:** The Direct Pay form is dynamic and additional question fields may appear based upon selected answers. Answer the additional, required question(s) for the type of payment selected: - **Service** - Provide description of the service that was performed - **Participation** - Describe the details of the activity and how the participant was involved - **Fellowship** - Attach letter, program link, or email from department to payee - **Scholarship** - Attach letter, program link, or email from department to payee and provide the name of the program **EXAMPLE**: The below screenshot selects the **Service** radio button, and the corresponding question field appears: *Provide a description of the service that was performed*.

Click the **Next** button.

The *Codes* page will display. To enter the payment FAU, click the **Edit** **(pencil)** icon.

The *Accounting Codes* dialogue box will display. Enter the required FAU fields, then click the **Save** button.

**IMPORTANT**: Do not modify the **Add alternate distribution** dropdown.

Click the **Next** button.

The **Additional Information** page will display. Enter **E** into the *Tax Code* field or select the **Select from all values** hyperlink to choose **E** from the list of available options. Select **#** from the **Tax Rate Code** dropdown menu. **IMPORTANT**: Leave the rest of the fields on this page blank. Accounts Payable will enter this information, as necessary. Click the **Next** button.

The *Review and Submit* page will display after all other form pages have been viewed. Verify that each form page has been completed via the **green check mark** icons in the checklist and top navigation tabs. **TIP**: If this form is for a recurring payment, select the **ellipsis (3-dot)** icon to save the form as a *Favorite* for future transactions. Click the **Submit** button.

**IMPORTANT**: The form cannot be added to your shopping cart if one or more required fields are empty. **Grey triangle** icons indicate missing information. Complete the affected pages to move forward.

The check request page will display with a **Success** confirmation notification. Under the *Summary* pane, the check request will show a "Create Invoice" workflow step, indicating your submission has been routed to Accounts Payable. **NOTE:** Each form request will have a unique **Form Number**. This is how you will identify this particular request moving forward.
