How to Create a Passport Challenge on Proxi

A challenge passport is an activation on Proxi that allows participants to check into places to earn points. Participants can check in with the honor system, 4 digit code, QR code or geolocation. Basic Passport Challenge Set Up

Access the map you want to use for your Passport Challenge. The locations on your map will serve as the check-in points for participants.

First, name your Passport Challenge.

Type in the description for the passport challenge. This will appear in several places including the registration page and home page for the challenge.

Choose the start and end dates for check-ins.

Customize the call-to-action text for the check-in button participants will use.

Put a link to your Terms and Conditions next. This step is optional.

Select the checkbox to display the leaderboard to participants. The leaderboard will show usernames and participant rankings.

Select the checkbox to let participants see their passport challenge progress after the end date.

Check In Validation Options

Participants can check into places a few different ways. The first of which is using the 'honor system' with no validation required. To do operate a passport challenge with no validation, make sure the 'Validate check-ins' box *is not checked*.

If you want to require validation for check-ins, ensure the **"Validate Check-Ins"** box is checked. You can choose from the following validation methods: 1. **4-Digit Code:** Each participating location is automatically assigned a unique 4-digit code (which you can edit). Distribute these codes to participating locations for display. When participants arrive, they open their challenge link from their email, select the location, click **"Check In,"** and enter the 4-digit code.\ *Note:* Every location will be assigned a 4-digit code, whether you use this method or not. If you choose not to use it, simply ignore the codes. 2. **QR Code (Recommended):** Each location is automatically assigned a unique QR code. Distribute these codes for display at participating locations. Participants simply scan the QR code with their mobile device, and check-in happens automatically—no need to search for their challenge link in an email. - *Bonus:* If a participant hasn’t registered yet, scanning the QR code will take them to the registration form before automatically checking them in. 3. **Geolocation:** Participants can check in when they are within a set distance of a location (you determine the range). To check in, they open their challenge link from their email, navigate to the challenge page, and click **"Check In."** They will be allowed to check into nearby locations based on the distance settings you configured. 💡 *You can also enable multiple check-in methods! For example, participants could check in via both geolocation and QR code, giving them flexibility in how they participate.*

Check the boxes for the validation options you want to use.

Special Offers in Passport Challenges

Check this box if you would like to hide 'Special Offers' until the participant checks in.

Setting Up Awards or Badges

Click 'Add New Reward' or click to edit awards you have already set up.

Write an award name.

Write how the participant will earn this award.

Write the completion message. This might congratulate them on their check in and inform them of how they will be informed of their award. i.e. Congratulations on checking into 3 places! We will reach out to you within 2 business days via email to coordinate prize pick up.

You can change the award icon to a sticker from our database or upload a custom icon. Click 'Save' once you've done so.

Define the success criteria for earning the award. Start by specifying the required number of points or locations a participant must check into. Alternatively, select the **"All"** option to require participants to check into every location to receive the award.

Then determine if the number should be associated with 'places' or 'points'.

You can limit the eligible categories or tags for this award. For instance, maybe you want to have an award to visiting all 'restaurants' vs. 'drinks'.

Once you're done setting success criteria, click 'Save'.

Activity Points

Activity points are extra points participants can earn by completing tasks other than checking into places. *Challenge organizers must approve the activity point submission before the participants will see the points on the leaderboard/as part of their account. Submissions can be found for approval under 'Participants and results'.*

Extra points can be earned in one of three ways. 1. Text. Participants can answer a question or submit the text you ask for to earn extra points. 2. Photos. Participants can add photos to earn extra points. You can prompt them to submit a photo of them participating in a passport challenge. 3. URL. Participants can add a link to earn extra points. For instance, you might prompt them to submit the URL for an social media post.

Assign the number of points the participant should earn for completing this activity.

Click 'Save'.

The next section we will explore is 'Places'.

The first step is to designate which map points will be available for check-ins in the challenge. You can do this by either: 1. Clicking **"Make All Places Active"** to include all locations, or 2. Manually selecting specific locations by checking the boxes next to participating places.

Click 'Save Location Changes to Challenge' to save your changes.

Next, you can adjust the point value assigned to each check-in. This allows you to make certain locations worth more points than others, if desired.

In some cases, you might want to skip validation for a certain location. Check the box in this column if this is the case for any given point.

Under **Confirmation Code**, you'll find the 4-digit code assigned to each location. You can modify the code if needed. If you want participants to check in using this code, distribute it for display at each location. If you’re using a different validation method, simply disregard the code.

Download the QR codes one by one by clicking on the QR code associated with each place. Tip: You can download these in bulk by clicking "Print Check In QRs" above.

Building the Passport Challenge Registration Form/Page

Start by creating a header for the registration form or page.

Next, write a description for the Passport Challenge. This text will be displayed on both the registration form/page and the challenge page after participants have registered.

Write in the Registration Form/Page submission call to action button text.

Upload a custom photo for your registration form/page. This image will also be displayed on your Passport Challenge home page.

Determine what fields you want to collect from registrants. Click 'Add Custom Field' if you want to collect more data from them.

You can add registration fields that accept text, numbers, checkboxes, URLs, or dropdown selections. You can also specify whether each field is required.

Click 'Get Registration Embed Code' to embed the registration form on your website. It will copy the code to your clipboard.

Seeing Participants and Results in Real Time

Click 'Participants and Results' to get detailed information on participants and where they've checked in. At the top, you'll get passport challenge results in real time. Refresh to get new data. First, you'll see total registrants, total places visited and total points earned. To the right, you will see total awards earned, by award type.

Click on any person to get detailed results in a pane on the left side of the screen. In addition to information on where the participant has checked in, you can: 1) Add any number of bonus points for any reason 2) Resend the person their secret challenge link (if they lost their email) 3) Hide the person from the leaderboard (especially useful for hiding the organizing team) 4) Reset User Data 5) Delete the Participant

Detailed Check In Data

Click 'Check Ins' to see detailed check in information by date, category and location. Click 'Download All Check-In Data' for the most detailed passport challenge data download.

Messaging Participants

Soon you'll be able to message participants by email and SMS. Meanwhile, you can download participant contact info in 'Participants and Results' and upload to your CRM for communication.

Embedding and Getting Links for Your Registration and Passport Challenge

At the top right of your screen, you'll see options to get links to publicize your registration and passport challenge. Publicizing Registration and the Passport Challenge itself is one and the same. Once someone is registered (AND the challenge is 'live'), the challenge itself will appear in place of the registration. This is why you want to embed the 'registration' everywhere you want someone to access the challenge. You can click each button to copy the corresponding text to your clipboard: 1) Registration embed: Embed code for your registration/challenge 2) Registration link: URL for your registration/challenge 3) Registration QR: QR code for your registration/challenge 4) Print QR Codes: Print QR Codes for the entire challenge at one time. Each one will appear on a new page.

Participant Experience | Registration Page

This is what the registration form looks like. If you added additional fields, they'll appear here.

Once someone has registered, they'll be directed to go to their Challenge Page.

Participant Experience | Passport Challenge Home Screen

From here they can click to the list of locations. \ \ *Tip* Participants will not need to necessarily save this page if you use QR code check ins: scanning the QR code automatically checks them in after registration.

The location list is split between places remaining to visit and and places that have been visited.

Participant Experience - Checking In

If you are using 4 digit code OR geolocation check in, participants can check in by clicking 'Check In'. Remember, if you are using QR codes, participants can scan the code using their mobile device without navigating this page.

Participants input the code.

And click 'Check In'.

The place will be transferred from the remaining list to the visited list.

Participant Experience - Earning Activity Points

If you have 'Activity Points' associated with your challenge, participants can click into each for further directions on submissions. You can approve the points in 'Participants and Results'.

Participant Experience - Seeing Passport Challenge Progress

By clicking Progress, participants can see the progress they've made in the passport challenge.

Seeing Check In Results

You can click 'Refresh' to see check in information come in real time.

Click on a participant to see their details.

Making Registration Active

You can make registration active or inactive by toggling 'Registration is Active'. You may want to open Registrations for a period of time BEFORE your passport challenge begins, so that you can start communicating with registrants. You might want to turn off registration when the passport challenge begins, but you can also leave it on to catch last minute participants.

Making the Challenge Live

For participants to check in, the 'Challenge is Live' toggle must be on, even when you are within the date range you input during Setup. During the passport challenge, in certain use cases, you may want to disable check ins overnight. Here is where you would toggle off 'Challenge is Live' and turn it back on in the morning.
