How to Create and Edit Community Policies

The Communities Policy feature allows you to upload specific documents for users to review and accept during the sign-in process at the Kiosk. This eliminates the hassle that comes with physical paperwork and stores everything in an organized & secure digital report within the Dashboard.

Click "Settings" & "Community Policies"

To add a new community policy, click "Add"

Add in a "Policy Name" and a "Policy Description" - neither of these fields are visible to your guest at the Kiosk and are used internally only.

Then, choose your audience for this policy. Anyone who falls within one of the visitor types you've chosen will see this policy during their next sign-in.

If you choose "Staffing Agency" or "Service Provider" as an audience, you can add further specifications regarding service type. For example, if you have a policy that's only relevant to CNA's & LPN's, you can make that customization here. If you leave the "Service Type" field empty, this policy will appear for every person that signs in using that visitor type.

If this policy should be active indefinitely, you can leave the "Forever" box checked. If this policy has an expiration date, you can uncheck that box and add in a start & end date.

You can set the frequency of how often this policy appears and then expires for your audience: The "Never expires" option means the policy will appear every single time your chosen audience signs-in. Meaning, even if I accepted or acknowledge the policy during my visit yesterday, I will see it again during my visit today. The "Every visit" option means this policy will only appear once for your chosen audience. Once a response is received, the policy will not be included in the subsequent sign-in process. If any of the other options (30 days, 90 days, 1 year) are selected, the user should see the policy 30, 90 or 365 days from when they first accepted the policy (for ex: If I signed in and agreed to a 1 year policy on Aug 4 2025, I would see the policy again if I signed in 365 days later)

This is where you add your policy. You can either copy & paste the text of your policy into the "Text" field - or click the "Upload" option and upload a file of your policy.

The "Upload" option allows you to upload a PDF or Doc file of your policy. If your policy is larger or long, you could upload a document that has a QR Code, which the visitor can scan on their phone to view the full sized document. You can also add in a "Policy Header," which will appear at the top of the policy on the Kiosk and will be visible to your guests.

You have the option to collect signatures for your policy. If you'd like your visitors to have to sign their name, toggle this option "On" - This option will appear green. If you don't want to require signatures, toggle it "Off" - This option will appear grey.

Add in the response(s) you'd like your guest to provide for this policy. You could narrow their options and only provide one response - requiring an acceptance or acknowledgement.

Or you could provide a secondary response option, like to decline. If so, choose "Add New Response"

Type in your secondary response option. Then, on the lefthand side, click the "Select Action Type" dropdown and assign an action to that response. For example, if someone chooses 'Decline' on your policy, you could deny their entry and cease their sign-in.

Or you could allow them to 'Decline' the policy, but still allow them entry into your community. Since both options allow entry, this is considered an 'optional' policy.

If your community has multiple kiosks, you may want to toggle the "Only Ask At Certain Kiosks toggle" on. Some communities have large buildings where each building holds a different level of care. These areas may have different requirements for their their policies, so this option could be beneficial in those situations.

Check the name of the kiosk(s) you'd like this policy to appear on and then click "Assign" That should move them to the "Assigned" column.

If you'd like to provide multi-language option for this policy, you can toggle on the additional language options and then click the pencil icon to edit them.

Click "Save" once done.

To edit an existing policy, check the box next to the policie's name and click "Edit" - from there, update any necessary fields.

You can turn off / turn on policies with the Status toggle.

If your policy is an uploaded document, you can use the Preview option to view it.

You can view a log of every person that has accepted or declined your policies by clicking on "Reports" & "Community Policy Report" To view signatures captured, you'll need to export the Community Policy Report.
